SUMMARY OF POSITION
The Office Manager welcomes and interacts with clients, consultants, vendors, and employees in our office in downtown Los Angeles. This is an in-office position with overall responsibilities for the space and work environment, while coordinating local processes and procedures and prioritizing an array of other office-wide responsibilities and tasks in support of employees and visitors and the daily administration of the office. This position reports to the Operations Director.
RESPONSIBILITIES
OFFICE MANAGEMENT
- Is responsible for office security, including the daily locking/unlocking of the office
- Greets visitors and connects them with the appropriate WATG employee
- Is responsible for the professional appearance, general upkeep, and security of the office
- Distributes mail and packages
- Answers incoming calls and routes them to the appropriate employees or department
- Provides callers with appropriate information and answers general inquiries
- Maintains the calendar for the conference rooms and schedules team meetings as needed
- Maintains employee schedules for general whereabouts and to appropriately respond inquiries
- Assists with conference room setups and catering needs
- Assists with planning and coordination of office events
- Maintains interiors resource library and assists with scheduling vendor lunch-and-learn presentations
- Follows WATG filing guidelines: organizes, archives and retrieves project files and other documents as needed
- Schedules document shredding based on WATG’s record retention policy
- Offsite file management organization and coordination
- Participates in new-hire onboarding and employee exit procedures
- Responsible for the upkeep of the storage rooms and overall office appearance, including public areas, supply area and print rooms
- Oversees coordination of monthly parking passes
- Orders office, kitchen, and drafting supplies
ADMINISTRATIVE SUPPORT
- Works on correspondence, meeting minutes, processes, databases, measurements and/or reports
- Provides backup and support to professional services staff
- Coordinates project meetings, meeting agendas, announcements as needed
- Is responsible for general accounting function, including expense reports and petty cash
REQUIREMENTS
- 2-4 years of relevant office experience with a small-to-mid-sized organization
- Excellent customer service skills and a professional and mature demeanor
- Strong verbal and written communication skills to effectively gather and share information, respond to employee inquiries, and maintain proper business protocols
- Ability to multi-task job priorities while adhering to a daily reception schedule
- Able to make decisions requiring initiative, judgment, and knowledge of WATG’s practices, policies and procedures
- Strong proficiency with MS Windows, Word, PowerPoint, and Excel
JOB INFORMATION
Salary range: $58,000-$68,000 per year
