ADULT EDUCATION AND LITERACY (AEL) ADMINISTRATIVE ASSISTANT: GRANT FUNDED Job at Crowder College

Position Summary
The AEL (Adult Education & Literacy) Administrative Assistant is part-time, 29 hours weekly, 12 months. The AEL
Administrative Assistant provides clerical and administrative support to the AEL Director and ensures smooth and
efficient office administration; serves as main point of contact for the programs and is responsible for maintaining and
reconciling all AEL budgets, entering and processing all pay requests. Data entry of all program data into the State date
system and maintaining all program records. Ordering and purchasing AEL program supplies and assisting the AEL
Director in carrying out budget-related function.

Essential Job Duties

  • Greets students and visitors and answer telephone in a courteous and professional manner;
  • Provides accurate information to those inquiring about AEL programs;
  • Communicates well with the AEL Director in phone, in-person, written, and email communication;
  • Responds to questions accurately; makes calls to students, college employees, outside agencies, etc.;
  • Maintains fiscal records, reports, and budgets for AEL projects;
  • Works with the Project Director to create beginning budgets and set up budget with the Controller’s office;
  • Reconciles AEL project budgets monthly;
  • Works with AEL Director and Controller’s office to correct any errors in expenditures;
  • Enters and processes all AEL pay requests and process all staff timecards;
  • Orders all AEL supplies and materials;
  • Purchases and maintains AEL office supplies;
  • Supports the AEL Director with travel plans and organization memberships.
  • Maintains insurance records and/or MOUs (Memoranda of Understanding) for all AEL facilities in the Barry,
Lawrence, Newton, and McDonald Counties;
  • Maintains Professional Development credit information and certification dates.
  • Records meeting minutes and other documentation required for project administration;
  • Acts as staff support for AEL activities;
  • Enters program data into the LACES data system,
  • Enters program data for non-credit student information.
  • Maintains a working knowledge of AEL legislation, regulations, and uniform guidance related to allowable
spending and budgetary items;
  • Assists the AEL Director with state and national board assignments;
  • Assist AEL personnel with classroom Orientation;
  • Maintain ongoing technology inventory spreadsheets;
  • Maintain master keys for classrooms, filing cabinet and locking cabinets;
  • Fulfills any other duties requested by the Project Director which job-related circumstances may demand; and
  • Create fliers and marketing materials for AEL classes and activities.


Required Knowledge, Skills & Abilities

  • Associate’s Degree or equivalent in education/experience.
  • Budget management experience.
  • Knowledge of accounting principles and procedures.
  • Well-developed spelling, grammar, and proofreading skills.
  • Knowledge of general office procedures and office filing systems.
  • Ability to work independently with minimal supervision.
  • Ability to handle confidential material judiciously.
  • Ability to perform multiple tasks and remain calm during frequent interruptions.
  • Ability to establish and maintain positive working relationships with other employees, students, and public.


Preferred Knowledge Skills & Abilities

  • Two (2) years of budget experience.
• Data entry experience


Information Technology Abilities

  • Ability to operate a personal computer within the Crowder College Network environment using the currently
available Microsoft Windows operating system. (i.e. Word, Excel)
  • Ability to operate standard office equipment such as computers, desktop calculators, copiers, and telephones.
  • Ability to use E-mail.
  • Ability to perform advanced word processing using MS Word.
  • Ability to perform basic spreadsheet functions using MS Excel.
  • Ability to perform data entry in LACES system.
  • Ability to perform basic desktop publishing functions using MS Word.


Positions Supervised

  • Work-Study as needed.

Working Environment
  • Indoors in a normal office environment with minimal exposure to temperature changes, noise, dust, or chemicals
part of the time; but also, outdoors part of the time (even in inclement weather) engaging in physical activities
such as walking (sometimes long distances), hiking, etc., when helping with student activities.
  • Hours vary to accommodate weekend, evening, and summer project activities as needed
  • A neat appearance and appropriate businesslike apparel are required.
