The Assistant Director of Admission for Campus Events & Visits is responsible for coordinating and implementing all on-campus recruitment events, the campus visit program, and new student orientation programs. The Assistant Director for Campus Events & Visits will supervise the Events & Visits team and serve as a member of the Admission Leadership team charged with knowledge of best practices specific to recruitment events/visits for all prospective students and their family members.

Campus Events & Visits

· Coordinate all on-campus recruitment events, not territory specific, which includes but is not limited to Showcase Events, Open Houses, Admitted Student Events, Orientation Programs

· Supervise the Campus Visit Coordinator to ensure daily campus visits are coordinated efficiently and effectively

· Supervise the admissions counselor who serves as the student ambassador advisor to ensure selection, training, and continual communication is effective with student leaders

· Meet with visiting families during their time on campus with appropriate follow-up correspondence with students, as needed

· Ensure notes about student interactions or visit requests are recorded in Slate, examples include high ability students for competitive scholarship candidates and parents who may be good candidates for the Parent’s Council

· Work with the Technology team to build and manage event communication campaigns with the CRM system

· Work with the Technology team to oversee ongoing maintenance and functionally of the campus events/visit programs website pages

· Help envision ways to incorporate the use of technology into events/visit program processes as we strive to make powerful and timely connections with prospective students

· Serve on appropriate departmental committees and attend meetings involving campus events/visits programs

· Actively participate in implementation of future campus events/visit program processes or products

· Train admission staff on their specific roles with campus events/visit program

Event Publications & Communication Liaison

· Work with Publications to create and finalize all event publication editing and ordering with final approval from the Director of Admission

· Work with Technology team to ensure the needed publications are documented into the communication plans

· Work with the Processing team on a timeline for any event/visit program mailing projects

New Student Orientation Programs

· Coordinate the freshman and transfer pre-orientation/pre-enrollment processes

· Work with the Processing Team with the preparation, printing and mailing of appropriate materials

· Implement processes for processing returned questionnaires and placement exams, preparing materials for enrollment of students through the Center for Academic Excellence

· Serve on the Orientation Planning Team in developing and implementing plans for the University’s summer orientation program for first-year students

· Coordinate the selection process and training for Orientation Leaders

Office Leadership

· Actively participate in weekly meetings with senior admission staff

· Lead comprehensive efforts to effectively host campus events and visits at the University and manage projects while meeting the needs of incoming and current students

· Develop creative solutions to staffing and processes related to changing needs or direction

· Serve as a resource to admission staff members and the greater University community in representing Truman State University

· Participate in training of staff members

· Work with the other senior staff members to create a supportive, enthusiastic, professional and efficient work environment

· Lead regular meetings with Campus Events & Visits team members to manage workload, monitor event & visit progress, and assign new projects

· Serve on the Admission Leadership Team, orientation planning team, and Truman week team.

Professional Development

· Participate in online seminars regarding relevant professional issues in an effort to keep current with recruitment event/visit programs and/or opportunities to enhance our operation

· Attend professional conferences off-campus, as requested and as schedule permits

· Member of CIVSA and Missouri ACAC

Documentation

· Maintain documentation of event/visit program processes for future reference

Special Projects and Other Duties

· Assist with campus tours and visits (as needed)

· Actively provide and participate in departmental or university trainings

· Provide support in answering the office phones, responding to questions, and following-up on requests

· Assist with other mailings and projects

· Research and report on admission processing trends and best practices

· Other duties as assigned

Required qualifications include a bachelor's degree; significant evidence of recruitment and event planning experience; exceptional communication skills (written and oral) and a strong commitment to customer service; ability to work in a collaborative environment within the Admission Office and the University as demonstrated by previous project management and/or group work; a record of success independently completing assigned projects with limited direct supervision as well as the ability to take direction from office leadership; ability to travel and to assume a work schedule that can include evenings and weekends; the ability to lift/carry items ranging up to 40 pounds in weight; and a valid driver’s license.

Preferred qualifications include knowledge of and/or experience developing recruitment events, working with admission recruitment communication systems and/or database management software. An educational background at a liberal arts and science university or direct admission/college marketing experience are preferred.

Salary range for this position is $42,000-48,000 based on experience.
