Part-time Office Assistant (Contract role)

The Office Assistant will report directly to the Office/Project Manager and will help with all facilities management for the San Francisco office of Natixis Investment Mangers Solutions. They will support the staff within the office and partner with different groups across the organization to handle a variety of responsibilities with a primary focus on office management. Other core responsibilities include: record retention and office event/celebration planning and execution. This is a part-time, contract position.

Primary Responsibilities:

Office Management

  • Ensure the San Francisco office is in good order and equipped with sufficient supplies, escalating any office/building requests to property management.
  • Help Office Manager with office onsite and offsite event organization and management (food ordering/handling, making reservations, working with vendors, etc.)
  • Learn the Solutions business by meeting with various departments.
  • Back up Client Service and Operations teams by responding to basic inquiries as needed, including, but not limited to proxy voting.

Document Retention

  • Collect, organize, store and maintain account related documentation as well as trade confirmations and client statements according to regulatory requirements.
  • Help coordinate all hard copy and electronic purge efforts for the San Francisco office.
  • Coordinate offsite storage with Iron Mountain, adhering to record retention guidelines.
  • Download statements from Fidelity and Schwab web based applications and store them on the local drive.
  • Systematically upload Tax Harvesting paperwork to Vestmark system.

Experience/Skills Required

  • Bachelor’s degree completed or college student
  • 1-2 years of relevant experience
  • Excellent written and verbal communication skills.
  • Impressive customer service skills
  • Ability to stay organized, highly productive, and deliver/execute multiple tasks within tight time frames
  • Team Oriented - Open to assisting other departments with various tasks as needed (Client Service, Operations, Trading, and Portfolio Management).
  • Strong interpersonal skills including team building and relationship management (within all levels of the business, both internally and externally).
  • Must be able to lift <20 lb boxes or other equipment or supplies
  • Strong knowledge of Microsoft applications including: Excel, Word, PowerPoint, Outlook, OneNote

In accordance with the California salary transparency law, the expected hourly wage for this San Francisco, CA, United States-based position is $20.00 - $35.00. Actual annual base salaries may vary based on factors including but not limited to education, training, experience, and other job-related factors. However, hourly pay, if hired, will be determined on an individualized basis.
