The Appointment Scheduler works in a fast paced environment and is responsible for communicating with patients and their representative to schedule appointments for multiple providers. The scheduler spends over 90% of their day on the phone, making and receiving a high volume of calls and texts with the goal of confirming appointments as efficiently as possible to complete the provider’s schedule as soon as feasible in order for the providers to have advance knowledge of their upcoming schedule. The scheduler is responsible for confirming patient availability and restrictions to guarantee the patient is able to be seen on the provider’s upcoming route, as routed based on geography, and if the patient is not able to be seen during the ideal timeframe, Scheduler is to provide compelling reason and try to work with the patient to be seen ASAP or find a mutually agreeable time to be seen at a later date. Scheduler manually data enters the appointments into the EHR system after the Routing Specialist confirms the route is active. The Scheduler is often the first point of contact for patients and their representative requiring the Scheduler to deliver an unparalleled patient experience and develop a rapport with the patient and their representative. The position requires immense multitasking skills and the ability to confirm appointments on the phone in conjunction with coordinating the schedule in written message form while remaining focused and prompt. Scheduler works with a scheduling team, under the supervision of the Administrative Support Team Lead.

The Scheduler is a remote position working from the comfort and convenience of your own home.

The following duties are included in the Scheduler’s job responsibilities, but they are not limited to:

  • High volume inbound and outbound calls and texts to confirm multiple providers schedule in “route” form, throughout Maricopa County
  • Review patient scheduling restrictions and ensure appointments are scheduled around the patient’s needs, while remaining operationally efficient
  • Contact patients, caregivers, MPOAs or facilities prior to their appointments to remind them of the visit and/or inform them of cancellations or changes to their appointment, as needed
  • Collect any copays or past-due balance, at the time of confirmation
  • Verify new patients have a completed intake prior to scheduling
  • Ensure patient information is up to date when scheduling established patients
  • Provide ETA updates to patients and their representatives on the day of the appointment
  • Verify that all required consent and/or compliance documents are completed and signed by the patient or MPOA prior to their appointment
  • Confirm patients’ insurance is active and all authorizations are received in order to schedule patient
  • Prepare and confirm all providers schedules two to three weeks out
  • Ensure the following day’s schedule is complete with all confirmed appointments and verify there are no gaps, pending or incomplete appointments
  • Follow the protocol for all patients needing to be pre-medicated and ensure the prescriptions are received and all steps in the process have been completed
  • Inform provider with substantial advance notice of any RF treatments on their schedule so they can coordinate and obtain the RF equipment
  • Coordinate and manage each provider’s schedule to their specific needs
  • Speak with patients or their representatives for all things related to scheduling their appointment
  • Answer inbound calls and respond to email and text inquiries
  • Adequately document all actions and interactions, whether direct or indirect, affecting a patient or their chart
  • Support providers by responding to their request for administrative, clerical or customer service assistance
  • Additional duties as necessary or assigned

Qualifications:

  • A private and quite place to work with phone, computer, and uninterrupted-reliable internet access
  • The ability to be on the phone or video meeting 100% of the day, without being interrupted from any outside source
  • 2 years of scheduling experience, preferably in mobile healthcare
  • Working knowledge of medical terminology including understanding ICD/CPT codes to communicate with patients, providers, and other internal or external stakeholders without issues
  • Proven customer service skills analyzing and solving problems with great outcomes
  • Personable, dependable, and responsible with excellent interpersonal skills including verbal and written strengths
  • Must have a positive and collegial disposition and enjoy collaborating with a team
  • The ability to be self-motivated and to work autonomously
  • Must possess strong computer skills with the ability to learn new systems quickly and be proficient in the use of Microsoft Word, Outlook, PowerPoint, and Excel
  • Experience working with the geriatric population or an at risk/underserved population and understand the complexities associated with the demographics which can include but is not limited to comorbidities, multiple caregivers involved in the care, at risk for additional ailments that require closer monitoring, patients who do not make their own decisions and have a MPOA who needs to be involved at all times, etc.
  • Ability to understand and handle PHI/HIPAA in the utmost confidential and professional manner
  • Outstanding organizational, prioritizing, and multi-tasking skills
  • HS Diploma or equivalent
