The primary objective of the position is to oversee daily operations and administrative support for the Theater Arts Department to ensure smooth and efficient student-centered functioning. Evaluate data collection processes; recommend improvements. Curate website communications. Plan and manage departmental events. Independently assist the Chair with a wide variety of administrative functions and projects. Manage front office for assigned departments or programs. Oversee student workers who perform more routine tasks; may oversee regular staff, e.g., Coordinators’ performance on assigned tasks.
Core Responsibilities:
  • General administration and projects: Manage department or program office; assist Chair with day-to-day administration and projects, overseeing student workers who perform the more routine tasks. Includes: Creating, organizing and maintaining files/records, recommending process improvements, ordering supplies/inventory, creating content for and maintaining department website, managing listservs, sending announcements, keeping track of departmental calendars, coordinating department/program meetings and recording minutes, assisting Chair with annual department planning memo process. 25%
  • Curriculum: Provide general advice to students, fielding inquiries regarding program details major and minor requirements; attend Students Day and Academic Fair to answer questions about department/program curriculum. Coordinate annual course scheduling, spearhead annual Bulletin review, manage cross-listing requests. Acquire and apply knowledge of degree program requirements in providing guidance to students. 25%
  • Faculty support: Serve as a resource or point person to faculty on questions regarding technology, institutional or departmental policies and other general information. Manage logistics of faculty searches, schedule meetings and make travel arrangements, assist with new course approval process. Organize tenure and promotion cases as applicable, support faculty with course preparation and expense reconciliation. 20%
  • Budget management: Manage department or program budget and track related expenditures (OP EX, GTR, gift accounts, as applicable). Track payroll and oversee processing of fiscal related requests. Provide reporting and analysis to management periodically. 15%
  • Event planning: Manage virtual and/or live event planning for assigned academic departments or programs. Mentor student workers who perform assigned tasks. Liaise with speakers/visitors as necessary, coordinate travel, books, space, and food, coordinating with central Conference & Events. 10%
  • Other duties: Perform other duties as assigned. 5%
Requirements:
  • Education: B.A./B.S. required.
  • Work Experience: 3-5 years. Previous theater or performing arts experience preferred, but not required.
  • Excellent oral and written communication to effectively coordinate across offices and groups.
  • Impeccable interpersonal skills with a collaborative work style to create strong working relationships with departments and offices across Brandeis.
