Sr. Payroll Specialist Job at Gentex Corp
Description: PURPOSE:
The Sr. Payroll Specialist will be responsible for all aspects of multi-state payroll processing for salaried and hourly employees. This role also provides support with the payroll General Ledger, journal entries, account reconciliations and reporting.
DUTIES, RESPONSIBILITIES, ESSENTIAL FUNCTIONS:
- Process multi-state exempt and non-exempt weekly, semi-monthly, and off-cycle checks for salaried and hourly paid employees in accordance with Payroll schedules and based on department SOPs
- Responsible for the weekly payroll interfaces and data maintenance between time keeping system and HRIS - uploading files, review, reconciliation, payroll adjustments and other data maintenance as needed
- Responsible for remitting temporary labor reports to agencies, review and assist with any questions or verification of clock hours
- Prepare payroll reconciliations after each pay period, at month-end, at quarter-end, and at year-end, to verify tax withholdings
- Ensure timely processing of all payroll transactions
- Assist in reconciling payrolls before transmission via validation reports utilizing intermediate to advanced excel skills
- Oversee and audit hourly time tracking submissions and contact managers as needed, to ensure time is submitted and approved in accordance with payroll deadlines
- Research, analyze and resolve issues related to payroll, benefit deductions, time and attendance, questions, and discrepancies; escalate as needed to the Accounting Manager.
- Weekly/Monthly/Annual Payroll to General Ledger Entry balancing
- Provide support with the payroll General Ledger- journal entries and account reconciliations
- Auditing of workers compensation classification codes
- Assist with year-end payroll process including gathering and loading data for year-end adjustments for W-2s
- Support payroll internal and external audits
- Respond to IRS equivalent inquiries/audits
- Process overpayments, repayments, and corresponding wage adjustments
- Respond to inquiries from employees and internal departments related to Payroll, Absence and Time Tracking issues.
- Ensures that pay is processed in compliance with government and company regulations. They should develop strong relationships with coworkers and managers and work as a subject matter expert on payroll functions and issues.

- Analyzes variances
- Complete Bureau of Labor and Statistics Time utilization reports
- Executes reports (scheduled and Ad Hoc), for Management, HR, Finance and other departments
POSITION SUPERVISES:
No direct supervisory responsibilities.
CONTACT WITH OTHERS:
This position will work within operations across all enterprise-wide value streams. Routine communication and reporting will also occur with the leadership team.

EDUCATION AND/OR PROFESSIONAL LICENSE(s)/EXPERIENCE: *
- Associate Degree in Business Management, Finance, Accounting, or equivalent experience
- Minimum 3 years in a related discipline, 5 years preferred
KNOWLEDGE, SKILLS, AND ABILITIES:
- Must possess excellent time management, communication, and analytical skills with an eye for detail
- Familiarity with HRIS platforms and tools
- Proficient in MS Office applications:
- Intermediate to advanced level Excel skills required
