Overview

The US Meetings Management, Senior Manager will act as a Meetings & Events subject matter expert (SME) within the organization. This Senior Manager position will provide meeting planning leadership and support to the US Meetings Management team. In this highly visible and essential role, the candidate will be responsible for supporting the advancement of the function with the implementation of designed strategies and tactics, policies and procedures, while also driving budgeting, planning, and execution along with the reconciliation of expenses for meetings and events. They will act as a full-service planner or use third party vendors to meet the business needs under the guidance of the department manager.

The ideal candidate will have strong project management and communication skills and be able to work to priorities with little supervision. They must be highly organized, detail oriented, flexible, have the ability to thrive in a fast-paced environment, handling multiple projects with tight deadlines.

This role will work collaboratively with members of the business units and functional teams to deliver a high standard of meeting planning excellence to the business stakeholders. In addition to sound and proven technical capabilities, the role requires strong and mature interpersonal skills at all levels internally and externally requiring a significant amount of collaboration throughout all levels of the organization. They should understand the business, corporate culture, and be able to keep up with evolving priorities. They will be expected to contribute to broader department programs and company goals.

This role is accountable to the development of stakeholder relationships (both executive and customer) to improve the service delivery and effectiveness of program execution as well as to increase corporate awareness and utilization of the functions services to be the sole and best solution for meeting, event and congress execution.

Key Responsibilities

  • Development of critical internal and external stakeholder partnerships as it relates to meetings & events.
  • Define and clarify meeting or event related needs with the Stakeholder/Program Lead and work with them to establish and drive meeting/event expectations.
  • Ensure internal US meetings management team’s alignment across BUs & functional teams.
  • Manage work process improvements and opportunities for enhancement based on industry standards in technology, operations, vendor management, engagement, and design.
  • Participate in tactical planning as the Subject Matter Expert (SME) for Meetings & Events to support USMM, brand, and medical team’s strategic efforts.
  • Manage and implement all logistical elements of meetings and events.
  • Adhere to all deadlines, turnaround timelines and compliance requirements.
  • Continually evaluate and improve key meeting and event processes.
  • Assume other duties and responsibilities not specifically outlined above, but which are logically and properly inherent to the position, and which can add value to the function.

Qualifications

  • Bachelor’s Degree desired.
  • 7+ years Meetings & Events industry experience required. Biotech/pharmaceutical meetings management experience highly preferred.
  • Microsoft Office Suite (Word, Excel, PowerPoint)
  • Hands on experience with meeting management tools and technology (i.e., Cvent, SpotMe, etc.) preferred.
  • Demonstrated success in managing vendor-partners including third party service providers
  • Strong budget development and management skills
  • Effective team player possessing enthusiasm and the ability to motivate others
  • Strong verbal and written communication skills
  • Exceptional organizational skills
  • Comfortable with direct interface with high-level executives, functional leaders, and healthcare professionals
  • Highly versed with sunshine act reporting and pharmaceutical industry hospitality guidelines for Healthcare Professionals (HCPs).
