What You Will Do:

Under the supervision of the Healthcare Documentation Integrity Lead, the employee will respond to requests for medical information from courts, industrial commissions, arbitrators, copy services, insurance companies, hospitals, attorneys, physician offices, and federal and state intermediaries by performing clerical duties in accordance with the established Firelands Health and department policies and procedures.

What You Will Need:

  • Responds to any legal actions involving patient’s medical record, i.e. subpoenas for court, industrial commission, arbitrations, and copy services. Notifies the HIPAA Privacy Officer of any case that may be requested through the Firelands Health Director of Safety/Quality, which is identified as legal action against the Firelands Health or member(s) of the medical staff, or is of suspicious nature.
  • Reviews requests for patient information for appropriate patient release and verifies authentication of releasing records, determines what information is being requested and obtains information from the medical record, ancillary departments or billing department to answer request. Complies with requests for patient information or communicates appropriate information to other hospitals, physician offices, attorneys, patients, insurance companies, federal or state intermediaries or other requestors.
  • Searches the computerized and manual master patient indexes to identify the patient and type of records they have and performs clerical duties related to the processing of requests in accordance with established department procedures.
  • Answers telephone inquiries including those related to the status of requests for medical information.
  • Prepares and maintains log of all requests and subpoenas.
  • Bills, records, and processes funds received from requestors.
  • Copies pertinent portions of the medical record to paper or electronic medium in response to a request or subpoena duces tecum.
  • Scans patient identification to satisfy the Red Flag Rules into hospital scanning software utilizing the point of contact module.

What You Will Need:

  • High school diploma or equivalent. Combination of education and experience is preferred.
  • Ability to use a personal computer and keyboarding skills required.
  • Knowledge of Ohio Privacy Laws and regulations.
  • Working knowledge of office equipment including copy machine, fax machine, and multi-line telephones. Must be able to multi-task.
  • Willingness to work as a team player within the HIPAA / ROI Department.
  • Ability to effectively communicate with physicians and other hospital staff.
  • Ability to handle telephone and face-to-face inquiries and issues using excellent customer service skills.
  • Ability to maintain neat and orderly records and logs.
