This is a full-time position that is responsible for providing administrative support and provides program stability to the Area Supervisor and Management staff. The Program Assistant must be extremely detail oriented and able to collaborate with staff to be successful in this position. The person in this position must demonstrate professional conduct and respect for each client, maintaining confidentiality and high ethical standards.


Duties include, but are not limited to
:

  • Review and verify employee timesheets and mileage logs by validating with internal schedule.
  • Review of monthly billing to ensure accuracy and submit corrections to Supervisor.
  • Electronic filing of client records.
  • Assist in client housing set-up; including ordering supplies.
  • Assist in maintaining a referral wait-list and/or group list(s).
  • Assist in client appointment verification and scheduling client staffing.
  • Assist in managing and monitoring reminders to staff regarding administrative due dates.
  • Updating and managing staff and client rosters.
  • Internal meetings note-taking.
  • Preparing new staff and new client binders.
  • Other duties as assigned.

Education & Work Experience

  • Associate degree in Human Services, Paralegal, or related field.
  • High school diploma or equivalent.
  • Prefer 2 years experience and/or education relating to administrative assistance.

Knowledge, Skills & Abilities

  • Experience in utilizing Microsoft office.
  • Excellent and demonstrated written and verbal communication.
  • Excellent ability to interact with staff, clients, and community stakeholders in an effective manner while maintaining professional boundaries.
  • Strong decision making abilities and ability to work independently.
  • Detail oriented and ability to meet deadlines.
  • Strong organizational skills.
  • Ability to maintain confidentiality of all client, staff and agency information.
