Description:
The Patient Services Representative is responsible for courteously and professionally responding to our Dental patients in person or directing calls and inquiries; and for collecting all monies for services rendered. The Patient Services Representative has overall responsibility for patient registration and insurance certification/verification.
Essential Functions and Duties:
- Greets all incoming patients.
- Creates new patient accounts by completing full registration as per practice and organizational guidelines.
- Register patients accurately; collects patient demographics using Electronic Dental Records/Electronic Practice Management software.
- Verify patients’ demographics and phone numbers at each visit including family size and family income.
- Verifies patient insurance eligibility, confirm and update eligibility; communicate critical insurance information as needed.
- Assesses and accurately enroll patient for sliding fee scale discount program.
- Logs all monies received to patients’ accounts; Generates receipts for patients.
- Maintain log of cash and/or credit card payments.
- Answers incoming calls and transfers to appropriate departments as needed.
- Responsible for scheduling appointments.
- Call or text/email patients to confirm scheduled appointments.
- Submit pre-authorizations via mail or electronically to dental insurance companies.
- Record approval and denials of pre-authorization in patients electronic dental record and the front desk logbook.
- Contact patient, inform them of approval or denial and schedule appointment as needed.
- Submit or call-in referrals for patients being referred out to dental specialties.
- Check phone messages and respond as necessary.
- Record cases returned from the lab in both the EDR and logbook.
- Performs other related duties as assigned.
- Ability to function in a fast-paced environment.
- Ability to apply common sense to carry out detailed but uninvolved written or oral instructions.
- Fluent in languages of the population we serve preferable. (e.g., Spanish, French/Creole)
- Demonstrate effective written and verbal skills and must possess excellent interpersonal skills.
- Ability to add, subtract, multiply and divide, using common fractions and decimals.
- Education and Experience:
- High School Diploma and/or its equivalent.
- Prior experience in healthcare or basic understanding of health/dental related terminology and services.
- Knowledge and experience using computers and Electronic Medical/Dental Records.
- Physical Requirements:
- Prolonged periods sitting at a desk, working on a computer, and answering calls.
- Perform repetitive motion (e.g., keyboarding).
- Must occasionally lift and/or move up to 10 pounds.
