Part-Time Administrative Assistant/ AP Associate
Overview of the Position:
BriteLife Recovery is a fast-growing organization located in Englewood Cliffs right off of the George Washington bridge we are currently hiring a Part-Time Adminstrattive Assistant/ AP Associate. The Associate will be in charge of collecting and distribution of corporate mail. They will assist with resolving any issues that may result from mail delays and insure coordination with financial manager. This position will be in charge of printing/ scanning AP checks and emailing to Financial Manager for approval. The associate will be in charge of auditing the company’s SAP concur system to insure that charges are coded correctly and all necessary receipts have been collected. This is a great opportunity to gain knowledge of Microsoft software, quickbooks and SAP Concur. The client offers great benefits, and the opportunity to make an immediate impact on the organization.
BriteLife Recovery is currently looking for a Part Time employee but with an opportunity to grow into a full time career.
The ideal candidate will have an Associates or Bachelors Degree in Accounting, Finance or Business Administration or comparable experience, excellent attention to detail, strong communication skills, and be driven for success.
Primary Tasks:
- Sorting and distribution of all corporate mail.
- Ability to resolve any issues revolving around mail and coordinate with Financial Manager (ie: Returned mail, Invoice to wrong company, etc)
- Email invoices/ notices to Financial Manager.
- Match receipts to charges in quickbooks from the SAP concur system.
- Insure all charges are coded correctly.
- Secure all required missing receipts.
- Load check stocks correctly.
- Insure that checks are recieved and printed correctly from Financial Manager.
- Scan printed checks and email to Financial Manager for approval.
- Mail checks through USPS/ FedEx/ Etc. to vendors as directed by the Financial Manager.
- Resolve issues such as returned check(s), checks that are not recieved by vendors.
- Complete addictional administrative duties as requested.
Requirements:

Job Type: Part Time with ability to grow into Full Time
Preferred background in accounting or accounts payable- Preferred experience with Excel
- Proficient experience with Microsoft Office applications (Word, Excel, etc)
Qualifications:
- Strong work ethic
- Strong organizational ability
- Excellent attention to detail, professional attitude, reliable
- Ability to consistently meet deadlines (invoicing, payables, receivables, etc.)
- Ability to manage multiple tasks while paying close attention to details
- Organization is a key component of this position
