POSITION SUMMARY:

Provides administrative support in preparation and completion of all administrative duties and departmental projects. Responsible for numerous aspects of business support including preparing spreadsheets, monitoring budgets, coordinating meetings and activities, responding to inquiries, managing and updating contract databases, processing contract modifications, supporting proposal development, assisting with new hire processing and other personnel related items. Under supervision of department director, preparing various reports including monthly budget updates, financial project tracking, and departmental status reports.

ESSENTIAL RESPONSIBILITIES / DUTIES:
Administrative & Proposal Support
  • Create Word documents/correspondence, Excel spreadsheets, PowerPoint presentations
  • Access and utilize multiple databases and internal systems.
  • Partner with Finance, Marketing, and Human Resource organizations to facilitate delivery and receipt of documents, actions, and deliverables.
  • Assist Human Resources and Client Engagement Managers with coordinating personnel-related matters, including but not limited to timesheet collection and submission, reimbursement requests, and annual reviews.
  • Support processing and onboarding of new staff.
  • In collaboration with the VP Capture and Proposal Development, coordinate new proposal preparation and submissions, including proposal coordination and management.
  • Generate, proofread, and edit correspondence for content and grammatical correctness.

Contracts Support
  • Deal with an extensive array of contract related documents associated with performing federal prime and subcontracts for various agencies.
  • Process new contract awards, contract modifications, and contract close-outs.
  • Assign project numbers to new contracts and modifications.
  • Maintain contracts database as primary repository for records and transactions.
  • Maintain up to date record of active projects.
  • Track Wage Determination (WD) and Service Contract Act (SCA) deliverables
  • Under direction of Client Engagement Managers, complete and update Contract Summary Guides (CSG)

Other Duties:

Under supervision of department director, prepares various reports including monthly budget updates, financial project tracking, and departmental status reports.
  • Adapt to changes in the departmental needs including but not limited to offering assistance to other team members, providing temporary coverage, and adjusting assignments.
  • Make recommendations to improve current operational systems and processes.
  • Provide research and administrative support for special projects. Provide general clerical support including filing, making appointments, photocopying, preparing and sending mailings, and coordinating conference calls.
  • Conform to company standards of performance and conduct.
  • Perform other duties as assigned or as necessary.

QUALIFICATIONS:
  • Bachelor's degree plus 1-3 years related experience. Additional relevant experience may be substituted for degree requirement.
  • Proficient with Microsoft Office applications (i.e., MS Word, Excel, PowerPoint) and web browsers.
  • Ability to work independently and exercise independent judgment.
  • Strong problem-solving and organizational skills.
  • Ability to multi-task, prioritize and meet deadlines.
  • Advanced oral and written communication skills
  • Experience with the Federal Acquisition Regulation (FAR) and federal contracting a plus.
  • Experience with contract administration a plus.


Physical Requirements:

  • Ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork.
  • Position will be hybrid requiring work in the office or our job sites in the DC area on average once per week.
