FLORIDA DEPARTMENT OF HEALTH - OPEN COMPETITIVE OPPORTUNITY
Your Specific Responsibilities:
Interviews clients, evaluates income, family status and insurance to determine need and eligibility for health department services. Initiates and completes necessary forms to open electronic charts, document eligibility and process yearly financial eligibility updates. Uses Availity, FLMMIS, Change Revenue, etc. to verify current insurance coverage. Uses WAGES, Unemployment, Medicaid, and client paystubs or other financial documentation to determine client SFS. Checks clients in for appointments. Inputs client's original demographic information into HMS via FL SHOTS. Updates demographics in both systems as changes occur. Ensures appropriate verification of client identification and changes are scanned into electronic chart. Ensures all forms have updated labels before routing client to clinic. Ensures correct client status is designated on each electronic chart every visit.
Schedules appointments (including Foreign Travel) via walk-in clients, and client calls and messages. Registers new clients for appointments through FL SHOTS into HMS. Schedules existing clients requesting appointments through HMS. Ensures insurance and eligibility requirements for Health Department services are verified each time a client calls for an appointment. Queries patients to determine the proper clinic for services.
Checks clients in for shots, PPDs, QuantiFERON, and shot transfers. Updates demographic info, verifies insurance, adds/updates insurance into HMS, and adds additional family members into household. Processes shot record transfers into FLSHOTS.
Answers multi-line switchboard, ensuring calls are answered promptly, professionally, courteously, and are routed to the appropriate areas.
Performs receptionist duties for QLOW, including verifying, scheduling, adding, and checking appointments into the system. Acts as front-line receptionist assisting clients with information regarding the Health Department, making appointments, and performing any additional duties not specifically designated here to ensure smooth front desk flow.
Provides back-up/rotates coverage for the switchboard, front desk and appointment desk and other Medical Records staff as needed. Assists with breaks and coverage during staff absences and extended clinic hours and as scheduled. Performs related work as required.
Scans all clinical documents into HMS. Utilizes progress note to advise other DOH staff of additional approval and/or actions that need to be performed on client case. Ensures HEDIS calls are made, letters sent if appropriate, and logged correctly.
Performs Medical Release through appointments in QFLOW.
Provides coverage to Main Site, SW and Alachua Clinics if necessary.
Responsible for securing the designated information sets for purposes of protecting confidentiality, data integrity, and appropriate access for all information, both confidential and public record, which is stored in hard copy or electronic format.

Required Knowledge, Skills, and Abilities:
Knowledge of computer software (Microsoft Word, Excel, HMS, FLMMIS, FLSHOTS, AVAILITY, WAGES, 3rd party insurance websites).
Strong customer service skills, ability to work with the public.
Knowledge of Immunizations, Medical Release, and electronic health records.
Ability to work collaboratively within a team environment.
Skilled at data entry. Detail-oriented.
Qualifications:
Minimum - Must have a high school diploma or its equivalent.
Must be willing to work Sunday from 9:00 to 3:00 without a lunch, and at least 4 weekdays from 3:00 to 7:00 with no lunch or 10:30 to 7:00 with a ½ hour lunch.
Must have at least one year of experience using computers and computer programs such as Word, Excel, or Medical Client databases.
Preferred – Verifying Florida Medicaid, Medicare, or third-party insurance coverage through FLMMIS, Availity or other electronic method.
Experience using an Electronic Health Record.
Experience scheduling appointments through an Electronic Health Record.
Experience with Florida Shots.
Bilingual.
