The Medical Records Supervisor is responsible for planning, organizing and directing all aspects of the Medical Records Department.
*Responsibilities*

- Manages the Medical Record Department consistent with medical, ethical and legal requirements and within established budget.
- Supervises health data retention.
- Collects and analyzes statistical data related to the departments’ productivity/activities, prepares and presents reports to Practice and Regional Management.
- Communicates regularly with other departments, offices, staff, patients, hospital departments and public on medical records matters.
- Responsible for developing, securing approval of and implementing policies and procedures to ensure the timely distribution and pick up of the practice’s mail service to all departments.
- Responsible for developing, securing approval of, and implementing department policies and procedures to ensure patient medical records are maintained, filed and distributed.
- Responsible for developing, securing approval of, and implementing department policies and procedures to respond to release of information requests. Ensure the practice remains within the legal guidelines for confidentiality and HIPPA privacy requirements.
- Serves as a medicals records clerk when staffing levels require.
- Purges inactive records at interval times throughout the year and files into archive medical record system; or box in preparation for off site storage.
- Conducts special projects as directed by Practice Management and Medical Director.
- Assists with maintenance of all office equipment to include phone, voicemail, computer, dragon, printer, faxes, copiers, IT assistance, etc.
- Maintains office supplies for the department.
- Conducts monthly office meetings.
- Maintains effective working relationships with the staff, patients and public.
- Motivates and monitors employee performance.
- Prepares and maintains detailed records, files and reports.
- Maintains strict confidentiality in accordance with HIPAA regulations and Company policy.
- Presents a positive, professional appearance and conveys a professional demeanor in the performance of assigned duties.
- Responsible for following all facility, organization and department precautions and procedures in the performance of all job duties to ensure a safe work environment for self and others.
- Completes compliance requirements as needed.
- Performs other duties as assigned or requested.

Qualifications
Education Level: High school diploma or general education degree (GED); Undergraduate degree preferred.
Experience Years: Minimum of three years.
Experience Industry: Healthcare.
