POSITION SUMMARY
East Side House Settlement (ESH) is a community resource in the South Bronx. We believe education is the key that enables all people to create economic and civic opportunities for themselves, their families, and their communities.
East Side Houses Early Childhood programs provide Early Head Start and Head Start services in a safe, supportive, educational environment for children ages 18+ months to 5 years of age. Serving 231 children daily from five locations, the comprehensive program is designed to develop the cognitive, social, emotional, and physical skills of children in a safe, supportive environment. Children and families receive a broad range of educational, nutritional, social, and preventive health services. Our staff fosters partnerships with families so that they can support school learning and achievement as well as advocate for their children and themselves. We expect that all staff will work collaboratively, and with the community, to promote school readiness while creating a safe, healthy, and protective environment.

Essential Functions:*
Duties include, but are not limited to the following key activities
The Facilities Manager is responsible for the oversight and supervision of the maintenance staff, as well as ensuring that all matters about facility needs and operations are addressed. Also, The Facilities Manager will ensure that each site remains in pristine condition and that all systems and equipment are functioning properly (i.e., heating/cooling, security, alarms, facilities, etc.). Additionally, he/she is responsible for the periodic inspection of sites and that logs are completed by his/her subordinates. He/she will also be responsible for the ordering of kitchen and custodial supplies, ordering furniture for sites, and scheduling repairs.

Duties and Responsibilities*
Under the direct supervision of the Director of Program Operations, the Facilities Manager is expected to perform each essential duty of this position in a satisfactory manner. The requirements listed below are representative, but not limited, to the knowledge, skills, and/or ability required.

  • Manage and evaluate operation/facilities processes and procedures, in accordance with the standards and procedures set out by the organization, the Head Start Performance Standards, and other regulatory entities such as the Department of Health
  • To coordinate the planned and day to day maintenance of all sites to ensure that a safe, compliant, and high-quality learning environment is provided to all families, children, and staff
  • Perform at a high level of professionalism in the overall operating responsibility of the Early Childhood Program
  • The Facilities Manager will collaborate with the various Directors and the Policy Council (PC), to align operations with services
  • Conduct training for the maintenance staff and Health & Safety training for all staff.
  • Review and maintain maintenance repair logs, daily/weekly/monthly custodial logs, Health and Safety inspections and making recommendations, and producing written reports/trackers.
  • Manage monthly inventory of supplies and equipment, prepare necessary reports, assist with orders and approvals.
  • To assist in developing Health and Safety policies and procedures and support for existing and new regulations when required
  • Contract and negotiate with vendors/contractors for the provision of services
  • Support community residents, parents, and program participants active involvement in agency community-building efforts as well as complete tasks necessary to move these efforts forward including serving on community building committees as assigned by the supervisor.

Expected Hours of Work
This is a full-time, exempt position. The general work schedule for this position is from 8:00 a.m. to 4:00 p.m. Workdays/hours are subject to change based on ESHs needs. Possible work on weekends, holidays, or after work hours for projects, special events, etc. to meet program operational goals.

The facilities Manager will be expected to travel between sites.

Qualifications & Competencies
Required Education and Experience

  • 2 years of the college experience
  • 1 year as Administrator/Supervisor
  • Experience working with vendors
  • Computer Skills
  • Must be able to stay organized in a fast-paced environment and have good organization and communication skills, both orally and written
  • Ability to manage multiple projects
  • Good interpersonal skills

Other Requirements

  • Passing of Fire Marshall/Drills tests by the FDNY (F-07 and S-95)

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

Job Type: Full-time

Pay: $70,000.00 - $72,000.00 per year
