POSITION TITLE: Administrative Assistant

CLASSIFICATION: Non-Exempt

STATUS: Part-time (20 hrs.)

REPORTS TO: College+ Pastor

JOB SUMMARY

The College+ Administrative Assistant (Admin) works alongside the College+ Pastor and College+ team to support the array of operations overseen by the College+ team. This role entails underpinning the vision and culture of the College+ team via practical, administrative tasks and responsibilities. The College+ Admin has a voice to speak into the alignment and vision of the team and is expected to attend all team meetings. In addition to providing administrative support to the College+ team, the College+ Admin works independently, performing a variety of administrative and clerical supportive duties. The College+ Admin must use autonomous discernment to plan, prioritize, and organize a diversified workload including but not limited to decisions regarding ministry matters.


ESSENTIAL FUNCTIONS

Meetings: 6 hours per week

  • Sunday morning meeting
  • College+ team meeting
  • 1:1 meeting
  • Common Ground production meeting
  • Occasional communications and marketing meetings as needed


Administrative Tasks: 14 hours per week

  • Speak into the vision and alignment of the College+ team regarding CBC culture, team culture, workflow optimization, and project management in all meetings
  • Oversee planning of retreats, trips, and other special events
  • Procure all supplies, decorations, and other items for the office and College+ events
  • Envision and plan new projects alongside the College+ Pastor
  • Interact and work with supportive ministries throughout CBC (e.g., Marketing and Communications) to foster brand alignment and productive inter-departmental collaboration
  • Assist in the creation and development of College+ resources
  • Create and order merchandise, resources, and supplies
  • Manage budget, check requests and employee time requests for the College+ team
  • Reconcile monthly credit card statement, and other check requests for Next Gen Pastor
  • Screen incoming calls and oversee outgoing correspondence and emails
  • Develop and maintain a working knowledge of Shelby Arena (the CBC database) and all other CBC systems
  • Facilitate and secure campus meeting rooms through ServiceU as needed


COMPETENCIES

  • Strong administration and operational knowledge with an excellent command of the English language
  • Strong organizational skills, with the ability to multitask and set priorities
  • Proficiency in administrative procedures, and operation of standard office equipment (e.g., computers, phone systems, copier)
  • Attention to detail in following instructions, following up on tasks, composing, typing, and proofing materials, etc.
  • Proactively takes initiative to ensure projects run efficiently and can meet concurrent deadlines

POSITION TYPE/EXPECTED HOURS OF WORK

This is a part-time position (20 hours). Scheduled hours are, Sun. – Thurs. with occasional evenings and weekends as job duties demand.


PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee may be regularly required to do the following:

  • Must have good or corrected vision as well as effective peripheral vision, depth perception, and ability to adjust focus
  • Must have good manual dexterity and be able to use repetitive motion of the hands, wrists, and arms
  • Must be able to remain in a stationary position for extended periods of time
  • Must be able to move about inside the office and file rooms to perform a variety of tasks
  • Must be able to frequently and effectively communicate in both written and verbal form
  • Must be able to frequently lift 10-25 pounds and/or push/pull objects up to 50 pounds
  • Occasional reaching, stooping, kneeling, bending, and crouching
  • Ability to work collaboratively and communicate effectively with team members at all levels of the organization


EDUCATION AND EXPERIENCE

  • High school diploma
  • 2-5 years of experience in administrative/clerical roles (preferred)


TRAINING AND RESOURCES

Most of the training will be hands-on experience. This position includes personal development that will include an ongoing reading syllabus, experiential learning trips, and interaction with a variety of leaders and fields.


WORK ENVIRONMENT

Duties are performed in an office setting where the work and general environment may be hectic at times. Therefore, it is essential that the employee can effectively handle the normal anxieties associated with the job and manage multiple projects in a service-oriented environment. Environmental noise levels are minimal.
