Your day to day
The Adoptions & Resources Team Lead (ART Lead) is a full-time position with regular weekend, holiday,
and evening shifts. The Adoptions & Resources Team Lead will handle Animal Services (soon to be
renamed the Pet Resource Center) and Adoptions desk-related matters. This position also supports and
contributes to staff development for both teams and is responsible for customer service in those spaces
at the League. The ART Lead will promote the League’s mission and values and ensure Adoptions &
Animal Services align with League’s guidelines and policies. This position is based in Arlington, Virginia.**

Reporting relationship
This position reports to the Director of Community Support and is a member of the Community Support
Department. They will also work closely with the Director of Operations for Adoptions & Matchmaking
related goals, processes, and concerns. The ART Lead will also work closely with League staff, volunteers,
and the public.
What you will do as part of the Adoption and Matchmaking team
While you will be primarily responsible for processing adoptions/matchmaking using our open adoptions
model, you will also assist with training and supporting other aspects of the adoptions department. You
will also oversee the League’s retail section, including purchasing, inventory, budgeting and meeting
sales goals.
What you will do as part of the Animal Services/Pet Resources Center team
As part of this team, you will be responsible for Animal Services desk-related matters including intake of
surrendered or stray animals, stray reclaims, lost and found reporting, wildlife issues, Pet Pantry
distribution as well as assisting the public with pet support questions.
Responsibilities for this dynamic position:
- Alternate between departments by dedicating one week to each department rotating weekly
- Lead and cross-train team members and volunteers with enthusiasm and consistent feedback
- Promoting excellent communication internally and across departments
- Regularly meet with supervisors from both departments and present new ideas and innovative
practices to improve both Adoptions and Animal Services/Pet Resource Center

- Create schedules for both teams, maintaining coverage during absences
- Provide high-quality customer care and service, especially in sensitive situations; work to create
a positive experience for all visitors coming to the shelter
- Manage the League’s retail section, including purchasing, inventory, budgeting and meeting
sales goals
- Evaluate and delegate workflow to maximize productivity
- Ensure those contacting AWLA to return or adopt pets receive respectful and compassionate
service; ensure all venues are explored in the best interest of the people and pets including pet
retention assistance and alternatives to surrender
- Train and coach staff with standard operating practices and processes
- Maintain a clean, organized workspace which includes filing paperwork, sorting donations, and
daily cleaning
- Create receipts and process payments accurately, following departmental protocols; this
includes performing opening and closing financial procedures with accuracy
- Assist operations team members as needed for special projects
- Collect, analyze and provide data to supervisor on a monthly basis
- Maintain and update the Animal Services and Adoptions Google Sites with current operating
procedures and resources
- Other duties as deemed necessary and consistent with the mission of the League
Additional responsibilities specific to Adoptions & Matchmaking:
- Facilitate adoptions and show pets to potential adopters
- Ensure the approach with potential adopters is using an open adoptions model
- Collect and file all bite disclosures, ensure that disclosures are included in pet’s file and a hold is
placed in Pet Point
- Administrative tasks including, but not limited to, restocking supportive materials, filing
contracts, creating adoption folders, ordering tags and other items, drafting weekly volunteer
adoption counselor schedule and data entry
- Ensure that animals are moved and placed to their appropriate locations and stages efficiently,
including monitoring Pet point “Holds” for accuracy
- Identify candidates for foster placement and coordinate with Foster Coordinator and Manager
of Animal Training and Behavior for consideration
- Oversee that animals have proper website descriptions, and appropriate kennel signage and
that updates are made as needed.
- Post adoptable animals on other websites, such as Rescueme.org, to get added
exposure/interest
Additional responsibilities specific to Animal Services/Pet Resource Center:
- Perform all Animal Services Representative duties including answering phones, returning
messages, checking emails, intake of surrendered or stray animals, stray reclaims, lost and found
reporting, wildlife issues, Pet Pantry distribution, and pet support questions from the public
- Provide information regarding Community Support/Pet Resource Center resources, animal
guardianship, animal care, and local ordinances
- Join the Community Support team at clinics and outreach events as scheduling allows

Your qualifications:
- Professional work experience in an Animal Shelter or in an Animal Care environment
- Customer service work experience
- Excellent customer service skills, patient and professional
- Ability to work comfortably with and around animals following League procedures and protocols
- Knowledge and understanding of dog/cat characteristics, companion animal behavior, animal
care, and general veterinary practices
- Ability to convey information accurately to the public
- Creative forward thinker with a focus on problem solving
- Desire and ability to work in a very fast paced environment
- Demonstrated ability to engage, inspire and instruct people
- Ability to work both independently and as part of a team in a hands-on work environment
- Ability to maintain calm, composed and positive in stressful, sensitive or emergency situations
- Flexible schedule with the ability to work evenings, weekends, non-standard hours and
overtime, as needed
- Strong computer literacy and ability to use software applications such as G-Suite, Microsoft
Excel, etc.

Typical physical & mental demands (this can vary day to day)
Requires frequent bending, reaching, stooping, kneeling, walking/standing, eye-hand coordination and
manual dexterity sufficient to operate a keyboard, telephone, photocopier, calculator and other
equipment or machinery. Will have exposure to injured and deceased animals, disinfectant solutions,
and variable indoor and outdoor temperatures. May assist in animal restraint and deal with distressed
or dangerous animals, and could be subject to bites and scratches. Requires manual dexterity to keep a
strong animal on leash or operating a door while holding a strong animal on leash simultaneously. May
be required to lift heavy items or animals (upwards of 50 lbs) and be otherwise physically active.

Requires normal range of hearing and eyesight to communicate with the public, volunteers, staff, and
animals. Also requires flexibility and adaptability to work with frequent interruptions.
Must be comfortable around dogs, cats, small companion animals, reptiles, amphibians and wildlife.
Will be required to receive rabies prophylaxis and tetanus vaccinations.
Generous compensation
This is a full time, 40 hour per week, non-exempt position. Amazing benefits include: medical, dental,
and vision coverage, annual paid holidays, floating holidays, 7% employer retirement contribution after
2 years of employment and much more. This position qualifies for the Public Service Loan Forgiveness
Program. The compensation for the position starts at $41,000 - $47,000 and the League pays a salary
bonus for language ability in: Arabic, Mandarin, Sign Language, Spanish or Vietnamese.
