Administrative Assistant Job at Kraft Analytics Group
SUMMARY: The Administrative Assistant is a critical team member supporting the internal operations and administrative needs of Kraft Analytics Group (KAGR). The candidate will manage the day-to-day operations of the office of the CEO, including scheduling and prioritizing meetings/appointments, managing travel and meeting logistics, preparing & editing correspondence and presentations, representing the organization to customers either in person or over the phone. This individual should be highly organized and able to multi-task to meet the deadlines in support of the CEO and KAGR’s broader goals. Additionally, this role will require well-developed communications and reading skills as well as knowledge of grammar, spelling and punctuation. Ability to problem solve and pivot quickly will be critical to the position’s success.
DUTIES AND RESPONSIBILITIES:
Provide exemplary service and support to visitors
Assist with any needs of the executives or their administrative team, as needed
Answer and direct phone calls
Produce and distribute correspondence, memos, letters, faxes and forms
Organize and schedule meetings and appointments
Maintain contact lists
Book travel arrangements, as needed
Order office supplies
Special Projects and assignments as business dictates
Position will require limited nights and/or weekends, to be scheduled in advance
Responsible for the maintenance, creation and control of all personally identifiable information or any other information protected by any Confidentiality or Privacy Standards or Company Policies that you have access or knowledge of, including but not limited to any state or federal regulations including HIPAA
SKILLS AND QUALIFICATIONS
- Exemplary interpersonal skills and customer service that consistently demonstrates diplomacy
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- Proficiency in MS Office
- Confidentiality and discretion required
- Bachelor’s Degree preferred
- 1-3 years of administrative experience required
