Undergraduate Admissions Operations Manager
Position Summary: The Undergraduate Admission Operations Manager is responsible for the creation, review and maintenance of student admission and academic records. This position will assist the university and its partners in the growth of undergraduate enrollments by ensuring the accurate and timely execution of enrollment data processes. The Undergraduate Admission Operations Manager will work collaboratively with other departments to ensure quality and accuracy of admission data entered in Banner and CRM.
General Duties:
  • Responsible for data entry into CRM and Banner for new undergraduate leads (e.g. inquiries, applications, transcripts, test scores, enrollment forms). This includes various data additions and edits to student records and managing data entry student workers.
  • Works collaboratively with other departments (Computing Services, CRM Administrator, Dual-Credit, Graduate, Registrars) to ensure quality and accuracy of admission data entered in Banner and CRM, including proper coding and processes. Has decision-making power to implement changes and edit processes as needed.
  • Develops and maintains processes for duplicate detection in CRM, in conjunction with CRM Administrator, Computing Services and Director of Undergraduate Admission and Operations.
  • Manages the print communication plan for undergraduate student recruitment to ensure that students receive timely and accurate information, including compiling and mailing of acceptance and enrollment packets.
  • Manage enrollment forms through AdobeSign, and entry/processing in Banner and CRM.
  • Represents the Admission office in data-related groups or meetings, in conjunction with Director of Undergraduate Admission and Operations.
  • Work closely with Computing Services to help students and families complete the Concordia Account Creation process which could include unlocking accounts or setting temporary passwords, etc.
  • Trains and coordinates work with undergraduate admission staff and data entry student workers; monitors accuracy of entered data; always maintain security and confidentiality of student educational records as mandated by FERPA regulations.
  • Assists Enrollment Services Specialist in monitoring print inventory stock and works with Marketing office and Xerox on edits/reprints as needed.
  • Performs general office duties including, but not limited to, answering the phone and scheduling car requests and meetings, making office supply purchases as needed and submitting required P-card reports.
  • Provide timely communications to various departments regarding student status and data requests.
  • For selected students in partnership and special programs: scan, load and index completed student files or supporting documents into CRM/Banner.
  • Other duties as assigned.
Qualifications:
  • Associate's or Bachelor's degree preferred.
  • At least three years of experience in customer service.
  • Experience with SIS (Banner), CRM or similar system preferred.
  • Previous office, data management and clerical experience required.
  • Previous experience in an admission office setting helpful.
  • Valid driver's license.
  • Proficiency in the use of software applications including Microsoft applications, databases, spreadsheets, and word processing required.
  • Ability to learn and work with Banner computer system.
  • Ability to learn and work with Ellucian Recruit CRM.
  • Ability to critically evaluate existing processes and then devise and implement improvements, or to create new processes where none currently exist.
  • Must have analytical skills, as well as a strong attention to detail.
  • Positive attitude and willingness to learn and work with others.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Strong verbal and organizational skills and the ability to communicate professionally with a diverse constituency.
  • Understanding of customer service principles.
  • Strong commitment to ensuring data integrity within the Banner system and Ellucian Recruit CRM.
  • Work occasional weekends and holidays.
