Our Company is seeking a Transfer Specialist for our Custody Asset Management and Control Team. The Transfer Specialist’s responsibilities include maintaining customer transfer reports and related documentation. The role involves assisting the accounting manager as needed and responding to information requests by clients, management, and for audit purposes. The Transfer Specialist facilitates the efficient transfer operations of the Custody Asset Management and Control department and serves as the day-to-day contact for Third Party Administrators / Record-Keepers and Advisors.
The ideal candidate should have working knowledge/or understanding of incoming transfer of accounts through Depository Trust & Clearing Corporation (DTCC), Automated Customer Account Transfer Service (ACAT), Mutual Funds and non-ACAT and experience in the financial services industry, coupled with demonstrable customer service skills and experience.
- Processing asset transfers, including ACAT, B52, and free delivery through coordination with both clients and other financial institutions to ensure the expedient receipt/delivery of assets.
- Entering, verifying, and/or posting customer fund transfer and related cost basis transactions by reviewing appropriate documentation.
- Troubleshooting situations arising from exception lists and communicate with appropriate staff in order to resolve.
- Assisting with special projects and other tasks as assigned by management.
- Answering phone calls from clients, fund contacts, account owners, and participants as needed.
- Monitoring MATC web site and responding to issues and emails, resolving client inquiries timely.
- Learning and understanding regulatory and compliance issues related to customer fund transfers and tax reporting.
- Becoming well versed in the MATC Trust system (TNS) and various industry systems.
- Working as a team to get all jobs completed on schedule.
- Interacting with other internal departments.
- Providing management with assistance when gathering necessary customer transactional information and other documents for audits.
- Assisting the Accounting Manager with preparing, mailing, and filing required tax forms with federal and state government agencies.
- Meeting processing and reporting deadlines.
- Maintaining and ensuring compliance with organizational guidelines and procedures, and federal and state regulations.
- Updating job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Maintaining familiarity with the other departments and roles.
- Verifying the accuracy of transfer input and output to ensure correct coding.
- Maintaining customer confidence and protecting operations by keeping financial information confidential.
- Performing other related duties as assigned.
- Associate degree required; Bachelor’s degree in related field preferred.
- 2-3 years of Financial Industry or related experience.
- Competency in Microsoft applications including Word, Excel, and Outlook. Advanced Excel or Macro skills a plus.
- Organizational, verbal, and written communication skills a must.
- Ability to multi-task, prioritize, and work efficiently while preserving accuracy; attention to detail.
- Ability to work independently and be an energetic self-starter.

- Flexibility is a key aspect of this role and the ideal candidate will need to be equally comfortable with direct client interaction as they receive inbound client service calls and network internally to research and resolve client operational issues.
Compensation will consist of a base pay and bonus program. Benefit package includes health, dental, life, vision, paid time off and 401(k) match (after applicable waiting periods).
