Real Estate Office Assistant Job at REMAX Center

REMAX Center Duluth, GA

We’re searching for another great office administrator to join our agent support team! You’ll be responsible for reception duties, listing entry and MLS updates, ensuring the office location stays in an organized and reliable condition, and providing superb customer service to our agents and their clients. You will work daily with other staff members in other locations to ensure consistent and reliable service to our agents. Being great at navigating multiple online programs along with Microsoft Outlook, Word and Excel is a must!

Previous real estate experience is not required or preferred! There is great opportunity for growth from this entry-level position.

Compensation:

$15 hourly

Responsibilities:

First Impressions

  • Be positive, energetic, and upbeat
  • Maintain a high-minded, positive, “It’s my pleasure!” attitude
  • Promptly answer all incoming phone calls and courteously welcome all office guests
  • Coordinate conference room usage
  • Keep coffee/kitchen area neat and stocked
  • Keep office neat and orderly – clean out vendor information and flyers weekly
  • Sort incoming mail
  • Ensure Computers throughout office are working properly and printers are stocked with paper

Administrative

  • Check Drop Box and Earnest Money Box at 9 AM each morning
  • Scan applicable checks to New Closings and Earnest Money Inbox
  • Process Listings, Sales Agreements, and Closings assigned by end of day
  • Review Listings for accuracy
  • Review monthly pending report of transactions that did not close
  • Oversee and review Coming Soon Listings
  • Print Commission Checks
  • Prepare and make deposits daily
  • Maintain office supplies inventory and submit orders
  • Troubleshoot Phone, Computer, and Internet Issues
  • Work as the “eyes and ears” of the office. Communicate with management any agent support issues, office condition issues, and more
  • Complete office orientation for new agents and set up mail slot
  • Ensure Policies and Procedures manual stays updated
  • Complete special projects as assigned (database clean up, holiday mailing, administrative orders)
  • Assist in year-end reporting including 1099 reports and awards reporting.

Qualifications:
  • Excellent written and verbal communication skills
  • Must have high school diploma or GED
  • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems
