SUMMARY: The Parts Coordinator maintains parts inventory, issuing parts and supplies, and/or purchasing assigned or designated parts and services from approved vendors.

DUTIES AND RESPONSIBILITIES:

  • Processes all Original Equipment Manufacturer (OEM) and warranty claims.
  • Tracks warranty credit memos associated through Accounts Receivable department to ensure credits are received from all warranty claims.
  • Manages all employees tool account to determine what needs to be ordered and who has an outstanding account balance.
  • Manages all company-owned tools to determine what’s missing, damaged, and/or needs to be replaced.
  • Maintains storeroom inventory tracking documents and service truck stock and replenishes as needed.
  • Stands in as a Customer Service Representative as needed.
  • Sources and orders parts from a variety of suppliers and manufacturers.
  • Ships, tracks, and receives parts and materials.
  • Produces time and material quotes for non-flat-rate repairs.
  • Calls customers to quote and schedule repairs in a timely manner.
  • Maintains all necessary signed documentation including tool account purchase requests and receipts, high dollar value item checks in/out, and refrigerant cylinder check in/out processes.
  • Facilitates and tracks all use of company-owned portable heaters and air conditioning units with the corresponding documentation.
  • Administers charity services including Fairfield County and Franklin County meals on wheels program.
  • Performs all other duties as assigned.

QUALIFICATIONS:

  • Education and/or Experience-High School Diploma (or GED or High School Equivalence Certificate); one or more years HVAC experience preffered; or equivalent combination of education and experience.
  • Language Skills-Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, management, and other employees of the organization.
  • Mathematical Skills-Ability to add and subtract two-digit numbers and to multiply and divide with 10s and 100s. Ability to perform operations using units of American money and weight measurement.
  • Computer Skills-Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.
  • Other Qualifications-Valid driver’s license is required; Must be able to travel up to 20% of the time.

PHYSICAL DEMANDS:

While performing the duties of this job, the individual must be able to remain in a stationary position for 90 percent of the time while operating their computer and performing office work. The individual needs to occasionally move about inside the office. They constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, fax machine, and computer printer. They must be able to exchange accurate information with customers and others in the office while interacting. The employee must regularly move up to 25 pounds, occasionally move up to 50 pounds. The individual must be capable of reviewing their work for errors and make adjustments as necessary. The individual will occasionally operate a motor vehicle to travel to supply houses and back to the office.

WORK ENVIRONMENT:

While performing the duties of this Job, the individual is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually low to moderate. The individual frequently works in a controlled climate.
