Office Clerk: Position Grade C (Entry - Level)

Position Objective
Provide administrative and / or clerical support for Section Manager.

Training
  • Trained by office clerk or data entry A or B.
Authority / Decision Making
  • Order & control Plant Office supply inventories.
Duties & Responsibilities
  • Collect all production / operation related paperwork for data entry daily. Makes all correction as needed to complete the task at hand.
  • Key - in all line - by - line production and reclaim tickets.
  • Fill out discrepancy report for any production data / ticket discrepancies.
  • Send discrepancy report out to all necessary individuals.
  • Post all production and reclaim data to system.
  • Close out all completed charts.
  • Organize and file all completed charts by charting number.
  • Any others duties or responsibilities as determined by Production manager that would fall within the normal job requirements of data Entry.
  • Answer Questions or Handle Issues for Hourly Employees reviews all with Production Manager and Administrative Assistant if needed.
  • All duties assigned by Plant Manager.
  • Team participation of ISO program.
  • Must have regular, reliable attendance, and willing to work outside the regular schedule as required.
  • Willing to handle job stress and interact with others in the workplace.

Task and Duties
  • Insure update notifications to responsible persons on all polices and procedure that require periodic reviews and updates.
  • Orders & controls Plant Office supply inventories.
  • Coordinators General Affairs requirements for all Sections (i.e., follow - up on travel and lodging arrangements).
  • Any others duties or responsibilities as determined by Plant Manager that would fall within the normal job requirements of an Administrative Assistant.
  • Overtime as required by Plant Manager.
  • Check with Accounting for completed Check Request - Distribute Accordingly.
  • Answer Questions or Handle Personnel Issues for Hourly Employees.
  • Prepare P.R.'s for signature - Copy - File - Send Originals to Purchasing.
  • Prepare no loss time and Perfect Attendance report on hourly Employees - Quarterly.
  • Prepare & Maintain Improvement Project Database.
  • Non - routine
    • Prepare & Maintain Improvement Project Database.
    • Employee Boot and Safety Glasses Requisitions - Copy - Record - Sent original to accounting.
    • Arrange Payment for all of invoices.
    • Prepare Per Diem Check Requests.
    • Maintain filing system for the Plant Office.

Physical and Visual Activity Required

  • Climbing, ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like, using feet and legs and / or hands and arms. Body agility is emphasized.
  • Balancing, maintaining body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery or erratically moving surfaces.
  • Stooping, bending body downward and forward by bending spine and waist. Example: Changing paper in printer, copier machine.
  • Kneeling, bending legs at knee to come to a rest on knee or knees.
  • Crouching, bending the body downward and forward by bending leg and spine.
  • Reaching, extending hand(s) and arm(s) in any direction. Example: Giving signals, reaching for material or handle on item.

  • Hearing, perceiving the nature of sounds with no less than a 40 dB loss @ 500 Hz, 1000 Hz and 2000 Hz with or without correction. Ability to receive verbal communication and to make fine discriminations in sound, such as when making fine adjustments on machined parts.
  • Repetitive motions, substantial movements (motions) of the wrists, hands and / or fingers. Example: filing, sorting mail, starting ignition of machinery.
