YOUR LIFE AS AN OFFICE ADMIN / HVAC SERVICE COORDINATOR
This full-time position typically works Monday - Friday, 8:00 AM - 5:00 PM.
As an Office Admin / HVAC Service Coordinator, you effectively coordinate our service appointments and help us serve our customers more efficiently. You collaborate with staff from our installation and estimate departments to coordinate our technicians' schedules and ensure we maintain an appropriate workflow. When we get a call for a job, you promptly complete and submit all necessary permits as well as prepare contracts and job folders. After the required paperwork is in place, you schedule an available tech with the proper skills to tackle the installation. When the job is done, you work with the homeowner to schedule an inspection for the work and ensure the system was installed correctly.
You diligently send out invoices after every project is completed, file rebates with utility companies when appropriate, and stay on top of our finances to guarantee we are always properly compensated. Attentive to detail, you prepare informational reports for management and assist project managers with tracking our work's progress. When required, you handle customer communications by answering inbound phone calls and emails and occasionally make outbound calls to clients. You take great pride in effectively coordinating the administrative side of our installation department and helping us better serve our customers!

- Clerical office experience
- Exceptional communication and interpersonal skills
- Valid driver's license and good driving record
