SUMMARY:
Provides administrative support to North American Subaru, Inc. (NASI) Vice Presidents and Directors in our Washington, DC office. Serves as a liaison between NASI’s Washington office and NASI’s New Jersey-based office headquarters regarding administrative matters. Organizes and maintains company assets, utilities, equipment, and records, including invoicing. Supports federal and state government affairs work through preparation of meetings and presentations.
PRIMARY RESPONSIBILITIES:
Administrative Support : Provides administrative support to Vice President(s) and Director(s) within NASI, including:
- Disseminates relevant organizational information and coordinates meetings, travel, and event arrangements and any other needs of the office environment.
- Handles and protects confidential documents such as HR data, legal correspondence, etc.
- Completes accounting support responsibilities including coordinating efforts with NASI Accounting Department at NJ headquarters and submitting and ensuring the payment of invoices.
- Assists incoming and outgoing NASI Japanese colleagues on relocation to U.S. and Japan. This includes coordinating the on-boarding and departure process for expat members and their families, including interface with Subaru of America (SOA) (Human Resources, Information Technology, Corporate Vehicles, etc.), Social Security, real estate agency and any other outside parties.
- Greets and assists visitors as needed.
- Maintains files including shared folders on the computer network as well as invoices, contracts, and other documents.
- Purchases and maintains office equipment and supply inventory.
Employee Database : Maintains and updates the data of employees, such as organization chart and employee lists (including office, title, phone number, address, etc.).
Government Affairs Support :
- Assists in the preparation of presentation materials, including PowerPoint presentations.
- Assists with the planning of site visits and tours of company facilities by federal and state government officials.
- Provides organizational support to Government Affairs team for meetings with government officials, trade association events, and other events-related activities.
ADDITIONAL RESPONSIBILITIES:
- Acts as interface between NASI management and SOA-related departments as necessary to ensure clear understanding between the two.
REQUIRED SKILLS AND ABILITIES:
- Associates Degree or equivalent experience in lieu of degree.
- Excellent organizational skills.
- Excellent verbal and written communication skills especially with Japanese staff with limited English.
- Cultural competency to work harmoniously with Japanese staff.
- Ability to multi-task.
- Familiarity with office technology and equipment, including WiFi network, computers, fax machines, scanners, printers, phone systems, etc.
- Intermediate skill level in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent skill level in PowerPoint and creating presentations.
- Japanese language fluency preferred.
REQUIRED EDUCATION AND EXPERIENCE: 2 year degree (AA, AS) and 4-6 years experience
INTERNAL GRADE: A2
SALARY RANGE: The recruiting base salary range for this full-time position is $44,900 - $64,100. Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training.
