MedSpa Manager
Primary Purpose:
Plan, direct, evaluate and oversee all activities in the Med Spa. Supervise Medical Associates and non-medical associates in an organized, effective manner that promotes the business successfully. Coordinate activities of the practice and assign work to the staff and provide timely and effective coaching to hold the staff accountable for performance/responsibilities.
Responsibilities
Management
- Supervise and coordinate daily operations in the Medical Spa
- Housekeeping –must walk through the entire building on a regular basis. “Inspect what you expect”
- Ensure all Phones, Computer, Printers, and Media Equipment are in working order
- Ensure appropriate maintenance and storage of the patient’s medical records.
- Monitoring all Software programs that are utilized daily
- Review menu of services and pricing on a regular basis for accuracy
- Work to stay within budget with expenses
- Manage both patient and business operations
Service Providers and Front desk Team
- Review and create schedules to maximize revenue per hour
- Service Sales & Retail Sales – Ensure goals are being met
- Appearance - maintain a high standard – Dress Code
- Interview and Hire prospective staff
- Analyze customer service strengths and weaknesses and develop plans as needed.
- Analyze guest retention and customer service satisfaction
- Update protocols & policies as needed and directed by Medical Director
- Maintain open communication with staff including being receptive to personal feedback from staff.
New Employee on Boarding and Current Staff Continuing Education
- New Employee documentation & Check list
- Train new employee’s or cross train current employees by following training protocol
- Scheduling Training events and ensuring attendance
- Recruit staff for Med Spa, and Front desk
- Training of "pre-booking," booking clients for future appointments
- Schedule Continuing education for the team Evaluate staff efficiency-of time performing services procedures
Med Spa Building Maintenance
- Ensure Cleanliness and Organization of Front Desk, Treatment Rooms, Employee Break Room, Bathrooms, dispensary etc. Ensure equipment is in working order, and if not have been scheduled for repair. All must be in operating condition.
- Ensure that security protocols are in place and being met to ensure employee and Client Safety
- Survey the facility to ensure cleanliness and compliance with OSHA and CLIA.
Inventory Management Purchasing of Goods and Supplies
- Ordering product monthly – Professional and retail
- Products are entered correctly into system Management System
- Markdown all retail products that have not sold within 30,60, 90 days. Place on Sale
- Keep an accurate record of professional invoices by department and ensure they are recorded
- Order supplies necessary to support services.
- Perform Inventory Counts
Marketing -
- Track performance of promotions to evaluate success
- Promote sales:
- Up selling
- Cross promotion to Re Med Spa Wellness and Hydration
- Retail products
- Gift Card Sales
- Membership sales
- Network for Practice and represent yourself to members of the community in a professional and positive manner
- Oversee in-house promotions and events such as guest speakers, charity functions and employee education.
- Ensure staff are attending networking events
Customer Service
- Ensure Patient Facing Protocols for Customer Service are being met.
- Reply to all:
- Customer Concerns or comments
- Client Complaints
- Staff-correspondence with clients are being met
- Work to ensure that when needed to respond to reviews on Yelp, Google or other Social Media platforms
- Re-emphasize up sell techniques, discuss, and implement and evaluate pre-booking protocols
- Interact with guests in a friendly, service-oriented manner.
Job Type: Full-time
Pay: $28.00 - $32.00 per hour
