JOB SUMMARY

Provides customer-service coverage in the physician’s office,and assumes the responsibility for successful financial outcomes of all patient services. Responsible for registering patients, insurance verification, telephone coverage, data entry, filing protected health information (PHI), patient referrals, appointment scheduling, and point-of-service collections. Reports to UMSA Director. Non-Exempt position.

ESSENTIAL FUNCTIONS

Registers all patients and utilizes sign-in sheets.

Ensures all registration and new patient forms are complete.

Ensures all required signatures are obtained.

Checks-in/check-out patients in a timely manner.

Ensures patients understanding of Notice of Privacy Practices and all registration forms prior to obtaining signatures from patient or appropriate patient representative.

Scans all patient insurance cards and links them to the patient’s chart appropriately.

Verifies patient insurance benefits and ensures all referral authorizations are in place prior to the patient visit.

Accurately and thoroughly collects, analyzes, updates and records demographic, insurance, financial, and clinical data in the HIS. Ensures information source is appropriate.

Ensures verification notes are entered in a timely manner.

Follows the scheduling template for each provider.

Inputs approved persons for release of PHI into the EHR system.

Determines patients out of pocket liability through various insurance protocols, co-payments, deductibles, allowances, etc.

Verifies payments are posted to patient accounts accurately and credit card payments are processed for full amount.

Refers patients to Financial Counselor when further explanation/education is needed regarding denied authorizations, out of pocket liabilities, coverage options, payment plans, etc.

Obtains promissory notes as needed.

Schedules appointments and explains the registration process.

Inputs pertinent information in the scheduling notes.

Provides instruction to new patients and assists with completing registration forms as needed.

Ensures appropriate guardians are accompanying minor patients at appointments.

Answers the phone in a professional and courteous manner.

Performs daily cashiering routines ( drawer routines, menu options, and posting payments) to include opening and balancing the drawer.

Scans daily work batches to the appropriate location.

Reports equipment repair needs in a timely manner.

Promotes use of practice tools such as patient portal and patient satisfaction survey.

Maintains cleanliness of the waiting room throughout the day.

Minimum Education

High School diploma or GED required.

1 year experience in physician office or hospital setting preferred.

Experience with billing and insurance preferred.

Required Skills

Must possess superior ability to communicate effectively in English, both verbally and in writing. Additional languages preferred.

Excellent interpersonal skills and customer service.

Must possess high degree of organization and be able to multi-task efficiently and effectively.

Advanced computer knowledge required, including proficiency in Microsoft Office and Outlook.

Ability to use standard office equipment (copier, fax, etc.).

FUNCTIONAL DEMANDS

Functional Job Requirements:

Job requirements include, but are not limited to: sitting, standing, walking, kneeling, bending, squatting and reaching. Requires good finger dexterity, repetitive motions with hands and fingers. Requires ability to have good vision and hearing. Pushing and pulling equipment may be necessary.

Lifting Requirements

Job requires light lifting on an occasional basis.
