The Medical Practice Manager is accountable directly to the Associate Director, Health Operations. This position supervises the Medical Receptionists, the Outreach and Enrollment Assister, and the Lead Medical Receptionist within their respective program as assigned. This is a full-time position based out of our Conway Health and Resource Center in SW and requires to be on-site.

Highlighted Duties and Responsibilities:
  • Oversees and optimizes the daily flow, patient experience and revenue cycle activities of the Medical Department and conducts outreach to target communities.
  • Ensures optimal productivity and patient access to care and ensures that revenue cycle activities are completed to support the financial health of the health center
  • Manages scheduling of phone and front desk coverage schedule to ensure that sufficient staff resources are in place to meet demand and allow access to care;
  • Manages patient flow at the front desk including cycle times of one hour or less and excellent customer service.
  • Ensures Telephone Encounters assigned to the Administrative team are addressed correctly and consistently and managed in accordance with clinical protocols;
  • Provides back-up support only as needed to the medical receptionists including registration, scheduling, collection of payments, and answering calls;
  • Works with the Director of Heath Operations and Lead Receptionist/Trainer to ensure that staff are trained on appropriate registration and insurance verification systems;
  • Oversees daily collection of money, check and credit card transactions. Prepares daily deposit with summary and receipts. Ensures daily collections balance before submitting to Finance Department;
  • Monitors the proper working conditions for all office equipment (non-medical and non-billing) and works with Facilities Manager for needed major repairs or replacements. Oversees that the site is clean by monitoring and reporting any work needing to be performed to the Community of Hope Facilities Manager;
  • Meets with supervisees regularly and provides real-time feedback, training, support, and coaching as needed. Creates meeting agendas, sends meeting agendas in advance when possible, and documents concerns promptly as needed.

Minimum Qualifications:
  • This position is required to work 100% on site. Please note that the remote work agreement is subject to change at any time, and the supervisor may require in person learning for a specific amount of time after hire
  • High School Diploma/GED required; B.A. or equivalent experience preferred.
  • Ability to multi-task and problem solve.
  • Experience in clinical setting required, preferably in community health environment.
  • Experience with Electronic Medical Records required. Experience with eCW preferred.
  • Ability to work a flexible schedule including evenings and weekends as needed.
  • Ability to travel between COH sites.
  • Bilingual a plus.
