Description

The purpose of this position is to assist attorneys with document and file preparation. This is accomplished by scheduling appointments; handling correspondence; drafting a variety of legal documents.

Examples of Duties

Handle a variety of administrative duties

  • Assist with phone calls
  • Greet and provide assistance to customers
  • File a variety of documents
  • Maintain attorney schedules for depositions, court appearances, meetings, etc.
  • Order and process payments for supplies

Prepare Council Communications and necessary documentation for Council Agenda

Assist attorneys in:

  • Assist with trial preparation:
    • Maintain organized logs of documents, witnesses, exhibits, etc.
    • Gathering of exhibits and other discovery for case preparation.
  • Draft legal documents:
    • Correspondence
    • Pleadings – complaints, subpoenas
    • Interrogatories and request to produce, orders, briefs, motions, depositions, medical abstracts

File appropriate documents with the Federal Court through PACER/ECF or Circuit Court through Odyssey eFiling.

Serve as liquor and tobacco violations clerk.

  • Prepare notices, orders and defaults
  • Schedule first appearances and hearings
  • Process payments with treasurer
  • Maintain files for assigned attorney
  • Maintain statistics

Serve as clerk handling demolition process

  • Update and maintain demolition court docket
  • Correspond frequently with Code Enforcement
  • E-file with Circuit Court
  • Filing by court runs to Recorder of Deeds
  • Manage of service with external vendors and County Sherriff
  • Request service checks
  • Prepare files before court for assigned attorney – draft complaint, lis pendens, notices, summons, affidavits, certificates of service, entry of appearance, liens, agreements
  • Close/maintain files after court for attorney

Handle accident claims

  • Review police incident report and accident report through ADSI
  • Collect any additional supplements from police officer
  • File insurance subrogation claim
  • Correspond with IDOT
  • Draft demand letter

Minimum Qualifications

High school equivalency with six-months/one year of advanced study or training; and one to three years progressively responsible related experience and a typing speed of 55 wpm required. A background check will also be performed. Any equivalent combination of education, training and experience, which provides the required knowledge, skills and abilities to perform the essential functions of the job, considered.

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

The employee normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few easily identifiable choices. The assignment is usually reviewed upon completion.

Skilled in a technical field: Work requires a comprehensive, practical knowledge of a technical field with use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.

Intermediate – Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Basic – Ability to perform the four basic arithmetic operations (addition, subtraction, multiplication, division). Ordinarily, such education is obtained in elementary school up to high school. However, it may be obtained from experience and self-study.

Intermediate – Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.


PENSION PROGRAM: Illinois Municipal Retirement Fund (IMRF): Ten years required for vesting. IMRF Death Benefit – Annual Salary after 1 year's service. IMRF Disability Benefit – 50% of Salary up to 30 months after 1 year's service.

VACATION: No Vacation in first year of employment. Earn 6.67 hours per month.

1st Year of Service - 2 Weeks paid Vacation (Earned Monthly)
After 1 year of Service - 1 additional day earned per year up to 4 weeks

Employees can 'Roll Over' 1 year's plus 1 week vacation accrual from year to year. Credit may be given to new hires for prior government service for accruals.
SICK LEAVE: 6.67 hours per month earned. No limit on total days accumulated. Limit of 120 days paid out upon termination. (Percentage of Career Salary)
PERSONAL LEAVE: Earn 2.67 hours per month.

In First Year of Service - Accrued monthly, up to 4 days per year
2 to 5 Years of Service - 4 days per year
5 Years and Over - 5 days per year

HOLIDAYS: 10 Paid Holidays per year.
MEDICAL/DENTAL INSURANCE: Coverage effective first day of the next month following completion of one calendar month of employment. Members may opt out of the City's insurance program with proof of other coverage – coverage for dependents is optional. The City of Peoria Health Insurance offers two (2) plan options for coverage. Bi-weekly premiums for employees depend on which plan is selected. On your hire date, you will meet with City's Patient Advocate to receive detailed information on the plans and the appropriate premium cost. Depending on plan selection, you can enroll in the Flexible Spending Program (FSA) or Health Savings Account (HSA).

RESIDENCY: You are required to establish residency with Peoria city limits within one year of employment. However, if you choose to waive the requirement, you must live within a twenty (20) mile radius of City Hall and give up 2% of your base pay for five (5) years. You will need to complete a Waiver of Residency form in the Human Resources Department.
