City Experiences is seeking a Human Resources Administrative Assistant for our NYC Ferry operation in Brooklyn.

About You:

This person will be adaptable, dynamic, and embody City Experiences’ RESPECT Service System.

About the Opportunity:

As Human Resources Administrative Assistant, is responsible for providing assistance and support to employees. Maintain employee files and correspondence.

Essential Duties & Responsibilities:

  • Maintain and update new hire onboarding status HRIS platform
  • Track new hire’s process in external tracking tool keeping everything up to date
  • Coordinate all provisioning and software requests with IT department
  • Collect and validate required documents such as but not limited to; COVID Vaccine records, Merchant Mariner Credential, TWIC, Servsafe, Food Handlers permit, I-9 documents
  • Manage and Monitor Background, Drug Screen and/or Physical results
  • Provide daily/ weekly updates to hiring managers for new hires
  • E-Verify all new hires assigned into correct entity within 3 business days of the new hires start date
  • Process and hire all new hires into Payroll system
  • Attend weekly hiring events, NY, NJ, Philly
  • Coordinating new hire orientations for each site, assign online training to new hires and track to make sure it completed, provide benefits details to each new hire
  • Create and maintain employee files in One Drive and UKG
  • Prepare employee correspondence
  • Uniform Tracking and Distribution
  • Prepare monthly birthday and anniversary notifications
  • Plan and prepare monthly birthday celebrations
  • Maintain and track Q2 awards workbook
  • Update monthly employee notification PowerPoint
  • Complete Personal Action forms for employee changes
  • Assist recruiting with scheduling interviews.
  • Perform other duties as assigned.

Requirements & Qualifications:

  • High School Diploma or equivalent
  • 1 year business/administrative experiences is required
  • 6 months experience ensuring compliance with I-9, and backgrounds
