Join our Development team as a Gift Processing and Donor Services Manager. This role sits on our Development Operations team and provides leadership and operational oversight for Second Harvest Heartland’s (SHH) fundraising operations efforts. This person is responsible for orchestrating centralized gift and pledge processing, receipts and acknowledgments, donor services, creation and maintenance of standard reports, and maintaining compliance with gift administration/tax policies and regulations. This person will interface with key stakeholders across the organization and must possess exemplary management and communication skills, keen attention to detail, and initiative and eagerness to excel in all responsibilities within this role.
Work Schedule: Hybrid, Full-Time, 40 hours / week.
Duties and Responsibilities:

Gift Processing & Administration

  • Ensure fundraising data integrity and effective revenue and donor reporting by maintaining donor and gift records in RENXT and performing data clean up when needed.
  • Accurately enter, process, and acknowledge donations, pledge payments, stock gifts and other financial contributions into constituent relationship management software (RENXT) within 72 hours.
  • Lead Month-End Close of gift entry, including gift coding verification/integrity audits, reconciliation with Accounting, Month-End reports, and communication to the team to meet the Month-End Close schedule put forth by Finance.
  • Manage vendors who provide donation processing (lockbox) and other services to achieve work standards and maximize efficacy and cost efficiency for SHH. Research and implement new vendors and processes as needed to take advantage of improvements in technology and service.
  • Develop, maintain, and update a dynamic list of policies, procedures, and regulations related to the use and maintenance of RENXT in relation to gift processing and entry.
  • Maintain familiarity with donor tracking, communication and research tools, such as Convio, financial data sources and external resources such as professional search services, NCOA and U.S. Postal Service.
  • Adhere to internal policies and procedures for receipt and deposit of gifts.
  • Adhere to IRS requirements and industry standards for data security, gift receipts and acknowledgments.
  • Prepare documentation for the annual audit in conjunction with Finance.
  • In partnership with Development Operations and Database Manager, oversee monthly reconciliation of Development revenue. This includes overseeing entry, release, and tracking of restricted gifts, and gifts applied to proposals and pledges. Serves as liaison with the Finance Department to ensure accuracy of donation records and deposits in Navision Ceres.
  • Maintain electronic and paper files on all donors including original pledge agreements and grant awards.

Stewardship & Donor Services Management

  • Oversee systems and production processes to produce and deliver highly personalized and timely acknowledgments.
  • Ensure processing and receipting times continue to improve on an ongoing basis.
  • Oversee execution and production of annual stewardship letters to donors.
  • Oversee and manage frontline customer service for donors, answering donor questions and addressing concerns and problems in a timely manner and in a way that reflects positively on Second Harvest and its mission.
  • Ensure all donor inquiries are answered and responded to within an appropriate period (within a 24-hour period).
  • Provide outstanding customer service to all internal and external customers with whom you interact.
  • Serve as a liaison with the External Relations and Individual and Corporate Teams to maintain up-to-date responses and talking points for donor inquiries.

Team Management

  • Oversee two Development Coordinators, responsible for gift and data entry, acknowledgements and donor services outreach.
  • Provide leadership through coaching, directing work, and establishing levels of accountability and professional development to staff who: enter gifts and related information to ensure the accuracy and promptness of data entry; and who provide customer service to donors to ensure responses address donors’ needs and are accurate and appropriate.
  • Serve as a back-up for the Development Operations and Database Manager.
Must Have:
  • 2+ years of experience hiring / managing a team.
  • 4+ years successful experience in Development Operations / Donor Relations, including process improvement and project management or a combination of education and experience generally attained through a bachelor’s degree in a related field(s) (Finance or Administration).
  • Knowledge and experience with donor database administration.
  • Proficiency in overall non-profit fundraising and development operations best practices.
  • Demonstrated critical thinking skills to analyze/interpret data and understand its relationship to fundraising objectives.
  • Demonstrated ability to effectively communicate across different teams and roles and provide exceptional customer service to create an inclusive environment where everyone is welcomed and valued.
  • Advanced skills with Microsoft Office, Office 365 and the ability to learn other computer software programs.
  • Ability to work with flexibility, efficiency, and enthusiasm, both individually and as part of a team in a fast-paced, high-demand environment.
  • Ability to give direction and develop constructive and cooperative working relationships with staff.
Nice to Have:
  • Raiser’s Edge NXT, Luminate Online and Omatic experience highly preferred.
  • Strong aptitude for data visualization. Power BI experience a plus.
  • Bilingual in other languages highly desired, (Spanish, Somali, Hmong).

Starting Pay Rate: $58,000- $75,000. / Dependent on Qualifications and Experience.
