Position Overview


The Executive Assistant to the President & CEO (non-exempt position) at The Tech Interactive provides administrative and coordinative support to the President & CEO while also working closely with The Tech’s leadership team and the board of directors. The Executive Assistant will also manage relationships with high-level donors, board members, community representatives, and staff members.



Responsibilities

  • Manage complex, active calendars, identifying potential conflicts and making the most effective use of the President & CEO’s time.
  • Manage frequent travel arrangements.
  • Track expenses and create and submit monthly expense reports.
  • Provide a diplomatic voice for the president’s office when interacting with different stakeholders (executives, board members, donors, members of The Tech Interactive, staff, and the community).
  • Participate as an adjunct member of the leadership team, including scheduling meetings, coordinating agendas, tracking action items, and keeping team members informed of upcoming commitments and responsibilities.
  • In partnership with the CEO and Board leadership, schedule board, executive committee, and other board committee meetings; manage logistics, including arrangement of facilities, AV support, and catering as needed.
  • Support board and committee chairs by producing meeting materials, attending meetings, drafting and finalizing meeting minutes, and tracking action items.
  • Maintain board records and files, including Articles of Incorporation and Bylaws.
  • Assist with the research and development of emerging initiatives, providing summaries and recommendations as appropriate.
  • Complete additional related tasks or duties as assigned by the CEO.

Requirements and skills

  • 6+ years experience supporting a senior-level executive with demonstrated ability to anticipate needs.
  • Experience prioritizing conflicting needs, handling matters expeditiously and proactively, and following through on projects to successful completion, often with strict deadlines.
  • Demonstrated professionalism, judgment, and empathy; ability to use these skills to work both independently and cross-functionally.
  • Exceptional organization and time management skills, with high attention to detail.
  • Proficient technology skills including Google Suite, Microsoft Word, PowerPoint, and Excel with an ability to quickly learn new software and adopt new technologies.


Working Conditions and Schedule

This is an onsite position with the possibility of flexibility for working some days at an alternative work location. Flexibility will vary depending on the needs of the job.


Compensation: $46 - $55 per hour. Pay will be based on amount of EA and board experience.
