Executive Assistant
De La Salle Institute (DLSI), located at Mont La Salle atop a rural hilltop with spectacular views of the Napa Valley, is searching for an Executive Assistant to provide administrative support to the De La Salle Institute Finance Department.

DLSI, a California religious non-profit organization, is a regional office of the Brothers of the Christian Schools located in Napa, California. DLSI’s purpose is to serve and support the mission of the Brothers, Partners and Apostolates of the San Francisco New Orleans (SFNO) District of the Christian Brothers. The mission of the Brothers is to provide a human and Christian education to the young, especially the poor. The District supports schools and communities of Brothers in California, Arizona, New Mexico, Texas, Louisiana, Oregon, Washington and Colorado.
The Napa location includes the District office, a Retreat and Conference Center, and two Brother Communities including a residence for retired Brothers.

What you will do:
Under the direction of the Chief Financial Officer, the successful candidate will perform the following duties:
· Schedule meetings, coordinate and prepare agendas and minutes for board and committee meetings for all legal entities.
· Maintain department calendar and coordinate it with the District calendar, process correspondence, maintain files and vault content list.
· Assist with coordination of all financial contracts and legal documents; create and maintain files; manage document retention and destruction requirements.
· Manage De La Salle Institute Fleet including vehicle registration, service schedule, vehicle sales and purchases, loaner vehicle checkout/service, insurance claims and monthly reporting.
· Pick up, sort and distribute incoming De La Salle Institute mail and faxes; stamp and drop off outgoing mail; maintain postage meter machine; manage packaging and shipping orders and deliveries.
· Order and manage office supplies and toner, and coordinate the servicing of office equipment.
· Maintain petty cash box as primary custodian.
· Distribute all corporate credit card statements.
· Process employee lunch billing.
· Prepare donor acknowledgment letters for all entities and maintain donor database for the Lasallian Christian Brothers Foundation (LCBF).
· Maintain Brother Information Database.
· Maintain files related to group tax exemption status for all legal entities; update and process Official Catholic Directory listings.
· Provide backup and support to other administrative support staff as needed.
· Perform general office duties as required.
What you will bring:
· College degree preferred.
· Minimum three to five years of administrative support experience preferred.
· Notary Public certification a plus.
· Valid Driver’s License
· Proficiency in Word, Excel, Outlook, PowerPoint, Access, and Adobe.
· Proficiency in web-based programs such as Dropbox, Zoom, and Survey Monkey.
· Ability and willingness to learn new software and web-based programs.
· Ability to use multimedia tools and audio-visual equipment.
· Excellent grammar and writing skills, proofreading and editing skills.
· Basic math/accounting skills.
· Strong organization skills.
· Self-starter; ability to manage time and meet deadlines with little supervision.
· Ability to multi-task while maintaining proficiency and accuracy.
· Ability to adjust to changing priorities.
· Ability to support team members with varying roles and personalities.
· Excellent professional courtesy and manner with all external and internal contacts.
· Willingness to grow in understanding of the Lasallian mission and heritage.
· A collaborative team player actively contributing to building community.
· Excellent attendance and punctuality.
· Ability to work in a fast-paced working environment managing multiple tasks.
· Ability to spend considerable time at a computer, keyboarding.
· Ability to bend, stretch and lift 50 pounds.
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
