Founded in 1805, the Pennsylvania Academy of the Fine Arts (PAFA) is America's first school and museum of fine arts. Located in center city Philadelphia, PAFA is intimate in scale with a strong sense of community. PAFA?s undergraduate degree offerings include a BFA in Studio Art and a coordinated BFA with the University of Pennsylvania. POSITION: Event Coordinator
Responsible for the day-to-day operations of PAFA?s events operations. Staff and implement directions for the physical, logistical, and technological set up and support of internal and external PAFA events.
This is a part-time position with a flexible schedule that is in line with PAFA events and needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Plan and execute a wide variety of events for both internal groups (Academy, Museum, and Development) and external clients (corporate, non-profit, social, and weddings)
- Site Tours
- Collecting all pertinent information from clients and vendors
- Creating load-in and load-out schedules
- Distributing information to all needed parties
- Collaborating with preferred caterers and planners to design floorplans
- Managing security, housekeeping, and catering staff day of event
- Remain through duration of event and clean-up
- Submitting nightly event reports
- Physically set up internal events - tables and chairs, audio visual equipment, podium
- Maintain event procedures and guidelines for the Museum and adhere to them for the safety and security of event guests and the Museum
- Mediate client issues and leave the client feeling supported.
- Will support social media efforts and help manage virtual inventory of event photos on digital system by seeking them out from photographers and making them available for department use
- Maintain stock of inventory and scheduling maintenance, repairs, etc.
- Occasionally may be asked to provide sales support, i.e. talking to prospective clients, offering tours, facilitating conversations about booking. This position will be expected to be familiar with these aspects of the business.
