General Description:

Provide organizational and communicative support to the Entrepreneurial Program Department and Regional Volunteer Teams for the planning and execution of Entrepreneurial Product Programs at every stage.

Essential Functions/Responsibilities:

  • Assist in planning, organizing, and implementing the Council's entrepreneurial product programs.
  • Acquire and maintain extensive knowledge of goods and products sold through each product program.
  • Answer questions from the Council's staff regarding product programs and procedures.
  • Attend (required) and participate in Product Program training sessions and meetings.
  • Assist with the development of Product Program forms and guides.
  • Ensure clear and helpful communications between Entrepreneurial Program Department and Regional Volunteer Teams.
  • Provide support and assistance to Troop Coordinators and Regional Volunteer Teams, by preparing sales materials and supplying information as needed.
  • Collaborate and communicate with Regional Volunteer Teams to ensure deadlines are being met and responsibilities are being accomplished for the duration of each program.
  • Support the Regional Volunteer Teams by attending scheduled meetings and preparing materials as needed.
  • Assume responsibility for Case Management and closure through Council systems such as Salesforce.
  • Maintain lists of active troops and Troop Coordinators on a Council level for mailings; in conjunction with Troop Support and Customer Care access and use the current and previous year's program history.
  • Verify Troop Coordinators' requirements at the Council level; i.e., current membership and background checks on file.
  • Assist with maintaining and updating Product Program records using various computer software programs; e.g., M2 and ABC Smart Cookies.
  • Provide information and training to Troop Coordinators who are interested in participating in entrepreneurial programs.
  • Maintain up-to-date reporting of program stats within various computer software programs; e.g., M2 and ABC Smart Cookies.
  • Management event and reward registrations.
  • Manage the sorting and distribution of materials, products, and rewards for each Product Program.
  • Manage incoming/outgoing materials, product, and rewards, including leftover inventory received through Council and Delivery Partners.
  • Assist with sorting materials, product and rewards by region, and delivery to outbound offices/Product Program Coordinators and Product Program Teams.
  • Manage Regional Reward Distribution lists, and distribution of returned or uncollected rewards on a Council Level.
  • Manage reward selections collected outside of M2 or Smart Cookies
  • Assist with, and attend, Rewards Distribution including sorting, delivery, and distribution, in addition to lead management of Reward Distribution events and uncollected/leftover rewards.
  • Assist with planning and participation in Product Program Events such as Rallies and Reward Events.
  • Manage and create departmental requisitions and purchase orders.
  • Manage Department Card Member Services/Credit Card receipts, statements, and monthly spreadsheets that are due to the Finance Department.


Education, Work Experience, Skill Requirements & Certifications:


Minimum Education (or substitute experience) required:

  • High School Diploma
  • Bachelor's Degree or equivalent secondary education preferred.

Minimum Experience required:

  • Minimum 2-3 years of related work experience. Non-profit experience a plus.
  • Experience with the Councils Entrepreneurial Program a plus.

Skills Required:

  • Intermediate level skills in Microsoft Word, Excel (spreadsheet creation and modification), Outlook and PowerPoint, general data entry, and Council membership and event tracking.
  • Must have excellent organizational skills and be detail oriented.
  • Ability to handle several projects simultaneously, prioritize work and handle last minute demands appropriately.
  • Proven success working in a team environment.
  • Proven ability and aptitude to work collaboratively with diverse individuals throughout the organization and community.
  • Ability to manage multiple tasks simultaneously without constant supervision.
  • Excellent verbal and written communication skills, and grammar.
  • High level of professional customer service skills is required to handle high volume and difficult customer service issues.
  • Ability to work a flexible schedule, to include nights, weekends, and holidays.
  • Follow and maintain all cleaning protocols and schedules; safety guidelines and procedures.

Minimum License, Certifications & Affiliations/Memberships and CEU's

  • Valid California driver's license and an insured vehicle in good working order.
  • Must successfully complete a criminal history livescan (fingerprint) background check
  • Ability to operate council vehicles as needed
