Position Overview
The Education Program Coordinator for the Kansas Consortium Intelligence Community Center for Academic Excellence (KC-IC CAE) will coordinate key grant activities including coordinate new student recruitment, track and report program activities, collaborate with program partners (Seward County Community College, Dodge City Community College, Garden City Community College, and Kansas City Kansas Community College faculty), assist in the development of marketing material, and contribute to program assessment. This position will develop and facilitate family orientations, summer boot camps, seminars, and webinars. The position is grant-funded and housed within School of Professional Studies. The position reports to the Assistant Dean.
The KC-IC CAE is a workforce development initiative funded by the Office of Director of National Intelligence and managed by the Defense Intelligence Agency (DIA). The program contains an education component, a faculty research component, and an administrative component. The KC-IC CAE mission is to enhance the recruitment and retention of an ethnically and culturally diverse Intelligence Community workforce with capabilities critical to the national security interest of the United States.

The Education Program Coordinator provides support to students from the point of initial inquiry through admission and works with the School of Professional Studies Academic Success Coaches to ensure the student success while enrolled at the University of Kansas (KU). The successful candidate will be able to engage in tasks from both strategic and operational perspectives. Similarly, the successful candidate will be able to work collaboratively and independently to meet the needs of the position.

Job Description
40% Student Recruitment and Support
20% Project management
- Conduct outreach to prospective students, collaborate with community college partners, and assist students through the KU admission process. This includes recommending and implementing recruitment strategies to the Assistant Dean, tracking enrollment patterns of participants while at the community college as well as at KU, semi-annual travel to the consortium schools, working with department advisors in the students’ majors, reviewing student records/transcripts, and speaking knowledgably about the IC CAE program and university policy.
- Engage with students and families to build awareness of, comfort with, and excitement toward academic programs at KU Edwards Campus.
- Develop and nurture relationships internally and externally to support student success from recruitment through graduation. This includes facilitating connections for student and academic success coaches regarding appropriate course selection, academic load, and campus resources to improve academic performance. It also includes ensuring students are aware of access points to KU’s comprehensive suite of support services and encouraging students to engage with support services as needed.
- Advocate for students in a variety of circumstances when appropriate and as needed, this could include advocacy for the student before arriving to KU Edwards or while enrolled at KU Edwards.
- Coordinate annual colloquium and quarterly touchpoint meetings with Principal Investigators, including logistics, scheduling, invites, agenda, and marketing.
- Work closely with Senior Director of Community Engagement and Program Manager for Community Engagement on these events.
- Plan and execute budget for these events, when necessary.
- Take notes for quarterly meetings and distribute to team members. Also, make sure team members are following up on tasks assigned.
20% Project management
- Oversee the management of the grant including financial expenditures, federal reporting, and other program documentation as needed.
- Record and report the program’s progress towards objectives and work with the Principal Investigator to develop and implement an assessment plan tied to grant outcomes, to include submitting the program’s federal End of Semester reports.
- Work closely with the Principal Investigator to ensure grant funds are properly managed and in accordance with grant regulations.
- Work closely with the KU Edwards Campus marketing team to develop marketing material for KC ICCAE program.
- Manage marketing materials for colloquia, workshops, seminars, and speaker series.
Required Qualifications
- Master’s degree or Bachelor’s degree plus three years related experience.
- Experience working in a college or university setting.
- Demonstrated skills in project management and using various platforms for communication (i.e., social media, email, in-person
- Experience building and sustaining relationships with a variety of stakeholders such as students, faculty, staff, administrators, and external constituents.
- Experience demonstrating high attention to detail as well as the ability to manage deadlines and work independently.
- Academic or professional budgeting experience.
Preferred Qualifications
- Fluent in Spanish
- Experience working with diverse student populations on issues ranging from degree completion, academic standing, student success issues, academic policy, and degree requirements.
- Experience implementing or revising enrollment management initiatives focused on recruitment and/or retention.
- Direct or indirect experience working with community colleges.
- Experience working with a federal grant.
- Experience with program assessment.
- Demonstrated experience with relevant student information systems and CRMs.
