Location: Dallas, TX
Reports To: Chief Development Officer

Summary
- The Development Associate provides administrative support to the Chief Development Officer (CDO) and the Philanthropy Team. This position supports all matters related to growth, management, and enhancement of fundraising activities. Other responsibilities include stewardship of donor relations and supporting donor events. Ensures productivity expectations, customer service and compliance standards are maintained. Abides by the organization’s mission in performing job duties. Demonstrates an understanding of and commitment to quality healthcare and excellent customer service.
Essential Job Functions and Expectations
- Provides administrative and fundraising support to the CDO and the Philanthropy Team Provides coordination support in confidential, individual briefings and solicitation materials for the CDO, as well as Philanthropy Team the Board members, and other key volunteers who are working with prospects.
- Assist in preparation of proposals, reports, correspondence, gift acknowledgements, donor/prospect meeting briefings, event briefings, and donor newsletters.
- Coordinates with the Office of the President/CEO and the CDO to maximize the time spent by leadership with donors within PPGT’s region.
- Proactively arranges for the written communication with major donors (thank you notes; condolence & other occasional cards; etc.
- Coordinates major donor mailings by preparing lists, performing mail merges, metering, and preparing bulk mail.
- Works with Prospect Researcher to perform research on major donor prospects, prepares reports and strategy briefings.
- Prepares materials, handouts, and packets for donor solicitations.
- Performs data entry in Raiser’s Edge and other databases on donors and prospects. Identifies and documents next steps with donors and ensures timely follow-up.
- Maintains major gifts files/records.
- Assists with maintaining the cash log as needed.
- Prepares materials for meetings: copying materials, setting up meeting room, ordering food and arranging virtual calls.
- Copies and distributes materials as requested.
- Prepares and distributes correspondence, memos, meeting notices, meeting materials, and other written documents including staff, board and committee meetings as needed.
- Represents PPGT within assigned region at a variety of events and meetings as applicable. May also be called upon to participate in events and meetings outside of assigned region as needed.
- Edit, update and proof documents as requested.
- Maintains office supplies for the Dallas Administrative office. Orders and receives supplies as needed.
- May assist in the completion of special office projects as needed.
- Has restricted access to client private health information and has no reason to view protected health information (PHI). May have access to data that is not considered PHI, such as aggregate numbers.
- Ensures achievement of agency goals, vision and mission.
- Performs other duties as assigned.
- Duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
Minimum Education/Experience
- H/S Diploma or equivalent + 6 years of administrative experience, or Associate’s degree + 2 years of administrative experience or Bachelor’s degree + some administrative experience. Writing and graphic design skills preferred. Development experience preferred.
