Job Summary


This position exists to provide lead front desk, supply/mail room and administrative support services to Central Office staff. Responsibilities include:

  • Provide lead front desk, supply, and mail room services. Independently modify procedures to ensure increased efficiency of the unit. Lead and train co-workers on the policies and procedures of the department for front desk, supply and mail room operations.
  • Review and maintain a variety of program records, written materials and reports using multiple procedures. Provide service as receptionist and assist in office organizational duties.
  • Provide information on department activities to department employees, the general public, legislators, and outside agencies/community organizations so that information provided is accurate and consistent with DOC policy guidelines. Maintain records, agency programs and services to answer questions and refer customers to appropriate assistance.
  • Provide general support to the Planning & Performance Unit so that objectives of the units are achieved in a timely manner.
  • Process federal mail, central office mail, contact courier and package delivery services so that all staff receives the proper services necessary for receipt and delivery of articles.
  • Operate and maintain technical programs and devices managed by the Office Services Unit.

Qualifications

Minimum Qualifications

The following qualifications are required of all applicants seeking consideration for this position:

  • Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect/save documents and information.
  • Leadwork skills sufficient to plan, coordinate, and direct office support activities, set work priorities, arrange staff coverage to meet workload needs, and resolve work-related issues.
  • English language skills (reading, writing and speaking) sufficient to communicate effectively with customers and department employees as well as to read, interpret, and explain department policies and procedures.
  • Word processing skills (preferably Microsoft Word) and business English skills sufficient to compose and format memos, letters, and other written materials that are grammatically correct and free of spelling errors.
  • Customer service skills (over the phone, in-person and via email or mail) sufficient to explain complicated information in an understandable manner as a resource related to Department of Corrections' policies and procedures and provide guidance to other employees on handling difficult or complex problems.
  • Ability to sort, distribute, and restock office supplies and equipment. This includes bending, stooping and lifting office supplies and equipment up to 50 pounds.

Preferred Qualifications

The following qualifications are strongly desired of applicants seeking consideration for this position:

  • Completion of an Associate's degree or higher.

  • At least 6 months of experience working in an office setting.

  • Experience providing customer service over the phone and in person.

  • Experience providing lead work direction to staff.

  • Experience using video conferencing equipment.

  • Experience processing, sending and receiving business mail.

  • Knowledge and experience in state supply procurement processes.

Additional Requirements

The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy.

Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.

New employees will be fingerprinted within the first 30 days of employment.
