Corporate Receptionist (NV) Job at Rapid Response Monitoring
POSITION PURPOSE/SUMMARY
Being the face of our brand new location in Henderson, Nevada. Our Corporate Receptionist will perform administrative work consisting of but not limited to answering/transferring incoming phone calls to appropriate point of contact/department within the company and greeting/registering vendors/visitors in accordance with the company’s SOPs. Provides necessary assistance to office personnel to establish and maintain efficient office procedures, practices, and routines. Assists Human Resources, Operations, and other company departments with the preliminary paperwork and assessments required for candidate interviews. Additional administrative responsibilities including: physical/electronic mailings, filing paperwork, and conducting research, and assist with operational related reporting. Offers support to local departments to meet the needs of customers/Dealers.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Receives/Answers telephone calls from lobby and reception line as needed, relay calls, and take messages.
- Maintain emergency contact and vendor directory.
- Maintain building security protocols, follow safety procedures, monitor visitor logbooks, and issue visitor badges.
- Takes messages or relays calls to local Department staff, including the President and Directors/Executives.
- Performs special individual assignments, projects, and events as designated.
- Provide assistance with the distribution of office materials, including preparing information for mailing.
- Operates office equipment such as telephone and computer systems, fax/copier, and mailing machine.
- Assists with the training of new employees, including Corporate Receptionists and Interns.
- Receiving, distributing, and shipping all UPS/Fed-Ex/USPS and other vendor packages to correct company personnel, dealers, and vendors.
- Assists the Hiring Team by issuing and entering initial paperwork for interviews/applicants, printing reports, and scheduling pre-employment screening.
- Sets-up conference rooms, media presentations, conference calls and meetings, for visitors, tours, and department meetings.
- Welcomes/Registers all company visitors with a level of utmost professionalism; functioning as the company’s initial point of contact for visitors.
- Assist with maintenance of the building and overall appearance of facilities.
- Assist with organizing, tracking, and ordering office supplies.
KNOWLEDGE, SKILLS, & ABILITIES
- Previous customer service or administrative experience is preferred.
- In-depth knowledge of Microsoft Office platforms with the ability to adequately operate a computer/word processing equipment and all other general office equipment. Microsoft Excel experience is a plus.
- Must be able to fluently communicate in English with a working knowledge of grammar and spelling.
- Filing experience and the understanding/ability to maintain practices of top-level confidentiality a must.
- Experience operating a telephone system including making/answering phone calls is a plus.
QUALIFICATION STANDARDS
- High School graduate with a minimum of a two (2) year Associates Degree, or two (2) years of completed college while currently enrolled.
- 2-3 years of experience involving duties of a related nature required.
- Strong interpersonal skills, flexibility and professionalism at all times.
