Job Summary:
The Corporate Events & Project Specialist is a full-time position responsible for overseeing Collette corporate and marketing events, including partnership, sales, press and product launch events and reports to the Corporate Events Manager.
Primary Functions:
- Work with Product, Sales and Marketing departments on site selection and itinerary for each event while considering necessary outcomes, design, cooperative marketing contributions and budget.
- Responsible for obtaining a completed event RFP from the appropriate event sponsor for each major corporate event up front and ensuring that accurate details are fully communicated to responsible departments to ensure the success of the program.
- In collaboration with Corporate Events Manager, responsible for confirming services and negotiating rate and complimentary items with event suppliers including hotel, restaurant, coach, DMC, and attraction vendors. Ensure all contracts are signed, finalized, and built in appropriate Contract system.
- Responsible for managing event expense forecast, and ensuring event stays within outlined budget.
- Responsible for setting up ongoing meetings with event sponsor and other relevant parties to provide updates and discuss the detailed event criteria, including budget tracking/reporting, potential challenges, confirmations of included items: (hotels, meals, transportation, meeting space, itinerary, etc.) for approval and acceptance.
- Final proof of builds for events for accuracy of vendors, dates, times, and flow of tour series. Proof itineraries/travel tips/tour summaries and any other related documentation for their respective tour products.
- Responsible for submission of any necessary BEO’s, guest counts, service timings and special requests to event vendors.
- Attend event as appropriate as the lead event point person.
- Perform post-event review to determine cost drivers, identify quality issues and potential improvements.
- Responsible for quality benchmarks for all events.
- Responsible for developing, maintaining, and training on all processes and procedures related to corporate events.
- Responsible for maintaining master calendars of all special event activities.
Knowledge and Skills:
- 1 - 2 years negotiation and contracting experience.
- Must be detailed oriented and able to multi-task.
- Ability to manage full scale projects.
- Strong verbal and written communication skills
- Ability to travel domestically and internationally as needed.
- Complies with all rules and regulations. Performs other duties/projects as assigned.
- This position reports to the Corporate Events Manager.
