Job Summary

The Assistant Project and Accreditation Coordinator works directly with the Project Coordinator, Instructional Designer, and with the management and staff of the Program Management and Fiscal Operations (PMFO) Team. This position will be experienced in managing an accreditation process as well as handling a wide range of program coordination tasks. The Assistant Project and Accreditation Coordinator will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, often under pressure, while remaining flexible, proactive, and efficient. The individual must exercise good judgment in a variety of situations, utilize strong written and verbal communication, possess strong logistical and organizational skills, and the ability to balance multiple priorities.

Essential Functions

  • Program Coordination
  • Manage regular PMFO virtual meetings via Zoom, and other technology, including managing logistical requirements and productions, and distribution of materials before, during, and as follow-up.
  • Coordinate activities, resources, and information and where necessary bring to the attention of the Project Coordinator any coordination issues, which cannot be resolved.
  • Provide organizational support, by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Provide historical reference by utilizing filing and retrieval systems; taking meeting minutes for various PMFO, RPFI, and Fiscal Consultant Initiative (FCI) meetings; collate and distribute notes.
  • Serve as lead for the PMFO team on producing key deliverables and print requests; follow up on outstanding items with PMFO staff as needed.
  • Utilize project support technology/software (e.g. SmartSheet, Slack) to:
  • Track training program/event registration
  • Track projects and deliverables of the PMFO team to ensure timelines are on time through the adherence of timelines
  • Assist with the monitoring, receiving, and forwarding to appropriate specialist requests for resource assistance from the PMFO Info line and Early Childhood Learning and Knowledge Center (ECLKC).
  • Assemble reports by collecting and analyzing project information particularly as it relates to the closeout of the project.
  • Attend and coordinate logistical support for occasional on-site meetings.
  • Liaise with partnering organizations, including but not limited to, Office of Head Start, University of California Los Angeles, Family Health International 360, Zero to Three, and fiscal consultants, to ensure communications and working relationships are efficient and mutually beneficial.
  • Maintain customer confidence and discretion by keeping information confidential. Provide the highest level of customer/client service and response.
  • Update job knowledge by participating in educational opportunities; reading professional publications, for example Harvard Business Review, Stanford Social Innovation Review, and other educational publications.
  • Maintain all record keeping in accordance with requirements established by the Department of Health and Human Services and the University of Massachusetts.
  • Accreditation Support
  • Collect, analyze, store, and maintain learning event records for accreditation, including International Accreditors for Continuing Education and Training (IACET) compliance.
  • Coordinate logistical support for PMFO and the IACET Compliance Officer to ensure timely submission of the accreditation applications and reports. This may include support during virtual webinars and hybrid events, as needed.
  • Coordinate with the IACET Compliance Officer and PMFO team members through gathering, organizing, and submitting evidence to meet accreditation application, monthly and annual reporting requirements.
  • Develop reports for accreditation compliance and OHS.
  • Communicate and collaborate with projects within PMFO on behalf of the accreditation reapplication process and ongoing compliance requirements.
  • Schedule, attend, and record minutes from accreditation related meetings.
  • Contribute to future accreditation application team efforts by accomplishing related results as needed.

Other Functions

  • Actively participate in business unit and UMDI-wide initiatives as requested.
  • Attend Administration and Finance Team meetings.
  • Conduct other administrative and logistical tasks as needs are identified.

  • High school diploma or equivalent.
  • Two (2) years’ work experience in a professional office environment.
  • Demonstrated ability/experience in the following:

Physical Demands/Working Conditions

  • Multiple hours in a stationary position using office equipment and computers.
  • The environment is a busy, collegial office area resulting in multiple interruptions and requests for assistance.
  • Some travel may be required, primarily within Massachusetts, and occasionally nationwide for the annual project meeting for all staff.
  • Transportation of supplies up to 20 pounds.
  • The physical/mental demands and work environment factors described above are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Work Schedule

  • A standard full-time work schedule consisting of 40 hours each work week.
  • Work performed in addition to the regular work week may be necessary and may require a change in availability at specific times to accommodate for variations in work demands.
  • This position has the opportunity for a remote work schedule, which is defined by the University as an arrangement where the employee’s work location is to work from a site other than the UMass Amherst campus. As this position is non-unit, it is subject to the terms and conditions of the University of Massachusetts Board of Trustees Non-Unit (Professional/or Classified) Employee Personnel Policy
