Access Services is hiring a Children's Respite Coordinator for our Children’s Respite program who will be working hybrid, and serving families located across Northampton, Montgomery County, and Lehigh County. This role will have some in office days, but the Children's Respite Coordinator can choose if they would like their home office to be based out of our Fort Washington, PA office or Bethlehem, PA office. Regardless of the office base location selected by the Children's Respite Coordinator, this role will include ongoing travel across Montgomery County, Lehigh County, and Northampton County to meet with those families who are receiving respite services.

As the Children's Respite Coordinator, this person will respond to the needs for "respite" support, a short period of time for families to have a break, which promotes family wellness and stability. Respite services provide an opportunity for families to be supported in their community. Children’s Respite can provide in and out of home respite services (based on location) for children and families. This team player will support, engage with, and manage all external and internal respite referrals in an organized manner. The children served may have a primary mental health diagnosis, may be in foster care placement, or may be dually diagnosed with mental health or Intellectual Disabilities and Autism.

The Children's Respite Coordinator will ensure administrative tasks are completed related to the coordination and payment of internal and external respites. This person will play a critical role in assisting programs with matching provider families to the right children in need of care. Their actions will ensure that the philosophy of Access Services is carried out so that every individual child's needs are met with excellence. This individual works closely with our Community Liaison and Recruiter role, Children’s Provider Onboarding Specialist, and program teams to create a collaborative approach to best represent Access Services and meet the needs of our programs.

Work Schedule:

  • Full time, Monday-Friday, 8:30am-4:30pm
  • This job is hybrid and will allow for some remote work. In addition, it will require working out of the Fort Washington or Bethlehem office at times, and will include travel in the communities served in Montgomery, Lehigh, and Northampton Counties as position responsibilities dictate.


Requirements

Essential Responsibilities:

  • Carry out onboarding tasks for new providers and respite staff, including program orientation.
  • Keep communication consistent and clear to maintain understanding and engagement of provider families, as well as keeping all internal programs updated on the progress of a provider family who is onboarding.
  • Respond to all respite referrals and intakes in a timely manner, coordinate respite care for each child, communicate status frequently, track all referrals and outcomes. Appropriately match providers and/or hourly respite staff with referrals based on needs, abilities, and preferred activities of the children Access services.
  • Conduct pre-service meetings, including confirmation of transportation arrangements for children to and from respite placements.
  • Ensure that both the client and provider databases are kept up-to-date with correct
  • information, using Evolv (electronic health record).

  • Provide support and supervision to hourly respite staff, as needed.
  • Partner with Community Liaison and Recruiter and Children’s Provider Onboarding Specialist to track and assess trends, recruitment and onboarding outcomes, and identify potential target audiences to meet needs of program.
  • Track, monitor, and evaluate respite data, trends, outcomes, and key performance indicators on a monthly basis; Remain up to date on regulation updates to ensure compliance.
  • Conduct respite provider evaluations in conjunction with administration after six months of service and annually.
  • Develop community awareness and outreach; build collaborations and partnerships.
  • Manage operations, including: internal and external respite billing, monthly statistics, track information, and collect authorization forms, confirmations, and daily logs for each respite stay.
  • Coordinate the implementation of all respite supports outlined in each individual’s plan.
  • Offer in-home/hourly respite and recreational activities, to ensure high quality care, approximately 2-4 hours per month as needed.
  • This position requires the ability to travel during the course of a normal workday to successfully carry out the expectations of this position including attending offsite meetings, providing services in the community, and providing service oversight and supervision. Therefore, employee will need to drive their personal vehicle and/or an agency owned vehicle to meet these expectations.


Requirements and Qualifications

  • Bachelor’s degree in a related field including human services, special education, psychology, or social work required.
  • At least one year of care experience with children with developmental disabilities and/or mental health challenges required.

Knowledge, Skills, and Abilities:

  • Excellent organization, excellent oral and written communication skills.
  • Ability to effectively interact with all levels of staff and the general public, ineract as part of a team.
  • Ability to effectively handle multiple priorities, direct and prioritize own work and be flexible
  • Develop positive, creative, and programmatic goals.
  • Knowledge of applicable regulations for foster care homes.
  • Exceptional customer service and engagement skills.
  • Proficiency in, or ability to learn and use workplace applications, platforms, and technology
