    Description: Provide in-depth secretarial/clerical support to the ECSE administrator and staff of Willow Lane Early Childhood Center. Major emphasis is placed on the organization and coordination of the internal clerical office functions of the ECSE staff.

    Job Summary: The essential functions of this position include, but are not limited to, the following fundamental job duties:
    • Provide secretarial/clerical support to the administrator and Early Childhood Services Center staff in the form of typing, filing, duplication of materials, answering phones.
    • Greet visitors and answer questions/concerns for the Early Childhood Service Center to include functioning as a liaison between the administrator and teachers, other management staff, students, parents and the general public. Provides community resource information..
    • Responsible for collection and entry of Minnesota Child Outcome Summary Forms (COSF).
    • Responsible for Frontline entry for staff after timeline is closed. Arrange for subsititue teachers if unfilled by AESOP. Direct substitute teachers to appropriate classrooms, provide class schedule, collect end-of-day reports. Arrange for substitute paras. Responsible for time card approval and coding.
    • Maintain record of staff absences including processing of required personnel forms.
    • Support building functions including building permits, staff meeting preparation, staff development workshops.
    • Maintain budget records, requisition coding, track expenditure, inventory incoming materials, monitor inventory of equipment (file at ESC for insurance purposes).
    • Supporting transportation needs of students and bussing duties.
    • Other duties as assigned by program supervisor.
    Qualifications: Education: High school graduate or equivalent required. Prefer additional education and experience in an office environment.

    Skills, Knowledge, Abilities:
    • Sense of humor and positive team player.
    • Extensive secretarial/clerical and computer skills.
    • Extensive skills in developing and maintaining record systems.
    • Knowledge of district policies as they affect the general operation of the building.
    • Ability to maintain confidentiality of the materials and information disseminated daily..
    • Ability to work in a fast paced rapidly changing work environment.

    Work schedule: 8 hrs/day, 212 days per year
