REPORTS TO: Program Director, Physician Assistant Studies Program
JOB STATUS: Part-time (20-29 hours/week)

PA Admissions Assistant Job Description:
The PA Program Admissions Assistant will work with the Program Director, Administrative Assistant, Faculty, and Director of Graduate Admissions to coordinate the admissions and matriculation process. Specific Duties as follows:
Centralized Application Service for Physician Assistants (CASPA) Management:
  • Managing applications in CASPA, including screening, assigning to faculty for review, creating reports, updating decision codes
  • Communication with applicants via CASPA regarding application status (including incomplete applications or missing documentation)
  • Managing e-mails through CASPA for communication of Interview, wait list, and Admission decisions
Interviews, decisions & offers:
  • Preparation for Interviews, including scheduling, assigning faculty interviewers, organizing logistics, reserving space as needed
  • Creating and maintaining the interviewee file
  • Gathering and compiling interviewer comments
  • Preparing reports
  • Participate in committee meetings & discussions regarding decisions
  • Maintaining Wait List
  • Tracking admission offers, acceptances, deposits, and withdrawals
Matriculation
  • Distribute Matriculation packet and maintain communication with accepted students regarding requirements and deadlines
  • Coordinate Student Health requirements with the wellness center
  • Manage record keeping, track completed requirements
  • Communicate and coordinate with registrar, bursar, wellness center, and other departments as needed
Other
  • Assist PA program faculty, Administrative Assistant, and Director of Graduate Admissions in planning admissions-related events, including but not limited to the Student & Family Welcome event every fall and New Student Orientation in January, and the annual White Coat Ceremony.
Qualifications
Required
Proficiency with Microsoft office programs (Word, excel)
Proficiency or ability to learn web-based management programs (including but not limited to admissions application portals)
Knowledge of the PA profession and PA education (Health care background a plus)
Excellent communication and organizational skills
Preferred:
Experience with the college admissions process at the undergraduate or graduate level; experience with PA program administration or CASPA a plus!
Bachelor’s Degree preferred
A background screening is required upon hire.
