POSITION SUMMARY:

We are currently recruiting for an Administrative Specialist. This full-time position pays $21.00 per hour and is located in Rockville,MD.

The position is currently hybrid 2 days in office and 3 days from home but this is subject to change to fully onsite.

Schedule varies slightly but will most likely be 9:00am to 5:30pm Monday through Friday

Bachelors degree is preferred in Public Health or Administration

Needs previous experience working in public health in an administrative capacity.

Employees assigned to this position are subject to Union membership, fees, and dues in accordance with the collective bargaining agreement, and employment with ATHENA may be conditioned upon participation in client’s Union.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Positions provide secretarial support for the Public Health Services Chief and Deputy, Health Officer, Management and Budget Specialist, and the Executive Administrative Aide.

· Duties may be varied but fall under extensive office and administrative support services, including:

o l) providing phone support and visitor reception

o 2) receiving and screening mail

o 3) maintaining unit calendars and schedules

o 4) compiling data for financial, statistical, operational or other reports; monitoring and recording expenditures and maintaining fiscal records

o 5) preparing official documents such as reports, regulations, contracts, legal documents, memoranda, etc. using various computer software platforms

o 6) setting up and maintaining files

o 7) processing administrative transactions

o 8) reviewing files and records to answer requests for information

o 9) ordering of office supplies

o l 0) handling inquiries and incoming emails and work requests; etc. Assist in the preparation of budgets and grants.

· Participate in developing department goals, objectives, and systems.

· Participate in staff meetings and attend other meetings and seminars as assigned.

· Recommend new approaches, polices, and procedures, to continually improve efficiency of the department and services performed.

· Efficiently performs duties as assigned and works as a team within division and company.

· Perform other related duties as assigned.

Required Skills/Abilities:

· Ability to learn an agency's purpose, programs, organization and procedures.

· Ability to proofread and edit documents.

· Proficiency in scheduling meetings

· Advanced Microsoft Office Suite experience: MS Word, Excel, PowerPoint.

· Proficiency in MS Teams

· Ability to analyze, interpret and compile data.

· Ability to prepare tables, charts, reports, and organizational charts.

· Ability to take and transcribe meeting minutes.

· Minimum of 5 years' work experience in administrative support.

· Ability to maintain records.

· Knowledge of basic principles of accounting

· Excellent verbal, written, and listening communication skills within the English language.

· Proven, high quality customer service (internal and external customers).

· Ability to work collaboratively.

· Ability to understand and adhere to the duties, methods, and procedures required by the position.

· Excellent organizational skills and attention to detail.

· Ability to prioritize tasks.

Education and Experience:

· High school diploma or equivalent, preferred.

Physical Requirements:

· Prolonged periods of sitting at a desk and working on a computer.

· Must be able to lift and move up to 25 pounds at times.

· Standard hours of work Monday through Friday, 8:30 am – 5:00 pm, however evening and weekend hours may be required.

· Travel may be required up to 10% of the time.
