JOB SUMMARY
The Association Management Administrative Assistant position will work as a team member with maximum emphasis on constructive, positive support to the concerns of homeowners, while supporting the Association Managers and other team members through the following responsibilities.
QUALIFICATION STANDARDS
- At least 2 years of progressive experience in administrative work with preference given to time in the association management field.
- Must be proficient in Windows, Microsoft Office, and the ability to learn additional programs.
- Must be able to convey information and ideas clearly.
- Must be able to evaluate and select among alternative courses of action quickly and accurately.
- Must work well in stressful, high-pressure situations.
- Must maintain composure and objectivity under pressure.
- Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
- Must have the ability to assimilate complex information, data, etc., from disparate sources and consider, adjust or modify to meet the constraints of the particular need.
- Must be effective at listening to, understanding, and clarifying the concerns and issues raised by co-workers and residents.
DUTIES & FUNCTIONS
- Serves as front line representative for visitors and/or callers.
- Daily administrative functions including phone coverage, correspondence, office hours, filing, mail processing and other tasks as assigned.
- Approach all encounters with residents and other employees in an attentive, friendly, courteous and service-oriented manner. Maintain a warm and friendly demeanor at all times.
- Maintain high standards of personal appearance and grooming, which include wearing the proper attire as determined by your office manager.
- Listens attentively to questions and comments. Communicates in a professional and composed demeanor under all circumstances. Responds to phone calls and correspondence in a timely, professional manner.
- Respond to all resident requests, problems, and complaints presented in an attentive, courteous and efficient manner. Follow up to ensure resident satisfaction.
- Operate all aspects of the Association Management computer system.
- Attend all-employee team meetings and any other functions required by management.
- Supports the Company’s philosophy, goals and adheres to Company policies.
- Understands and follows directions given by direct supervisors and conscientiously completes them.
- Acts quickly and effectively when the situation demands it.
- Organizes time effectively and successfully balances the competing demands of multiple projects.
- Maintain key control system.
- Other duties as required.
