Administrative Assistant Family Office (6 Month Fill In)
Time Equities, Inc. (“TEI”), an international real estate investment and development company is seeking a proactive, dynamic, multitasking yet detailed-oriented professional to fill in for up to 6 months of maternity leave to serve as an Administrative Assistant reporting to the CEO and Chief of Staff. This role will manage the CEO’s philanthropic platform, be a liaison to not-for-profit organizations, and manage special projects and events such as fundraisers. In addition, this role will manage several personal aspects such as family travel, calendar, as well as the reconciliation of personal invoices. The ideal candidate has a positive attitude, works well with others, strives for excellence and efficiency, and thrives in a busy, fast-paced environment.
RESPONSIBILITIES
Job responsibilities include but are not limited to:
- Managing all aspects of the CEO’s philanthropic platform and grant-making portfolio, including the family’s foundation, donor-advised fund, individual contributions, and donations made on behalf of Time Equities.
- Serving as a liaison between the CEO and all non-for-profit organizations
- Serving as the liaison between the CEO’s family and TEI
- Planning and managing the annual NYC Art Omi 200-person fundraiser gala from location selection through performers to catering.
- Managing and/or coordinating special projects and initiatives for the CEO, both personal and professional
- Receiving and managing all incoming mail
- Coordinating lunches, as needed, for the CEO
- Managing aspects of CEO and family’s vehicles, as needed
- Managing and reconciling the coding of all credit cards and incoming invoices
- Providing full backup coverage for CEO’s EA
- Planning and coordinating the CEO’s family travel and holiday trips
- Planning, coordinating and managing the annual TEI conference, holiday party, and other events, both personal and professional, as needed
- Troubleshooting questions in the CEO's stead and doing whatever is needed to make the CEO's life easier
REQUIREMENTS
- Familiarity with philanthropy, grant-making and fundraising, event planning, family office administration, and travel coordination is a plus.
- 5 years of experience providing administrative support, coordinating travel logistics, and calendar management for 1 or more executives.
- Bachelor’s degree.
- Experience prioritizing multiple projects.
- High level of attention to detail and accuracy in managing many moving parts.
- High level of organization, efficiency, and ability to thrive in a demanding and fast-paced work environment.
- Positive and ambitious attitude; energetic.
- Refined communication and interpersonal skills; ability to represent CEO and company in a sophisticated manner.
