Job Description
Job Title: Accounts Receivable Specialist

The Accounts Receivable Specialist prepares reports and analysis for Corporate and Wholesale, and is responsible for cash, collections and selected analysis for Corporate Receivables.
  • Prepare various monthly account reviews and analysis, including Corporate Bad Debt, and prepare journal entries during period close.
  • Analyze year over year variances of selected accounts and provide balance sheet analysis.
  • Perform all Vendor Income functions for selected categories, including processing of rebate submissions, billing vendors, reconciling programs, and preparing a monthly accrual entry.
  • Coordinate and lead monthly meetings with Marketing team for selected categories and provide necessary documentation for D&A.
  • Participate in audit process for Vendor Income. Provide and review back-up for programs and identify any discrepancies.
  • Prepare all monies received for over the counter for deposit and entry into automated systems. Communicate with individuals in other departments to determine the correct coding of monies received. Reconcile and deposit Café Cash on a daily basis.
  • Post all payments for Corporate Receivables, including Cigarette ACH payments and D&A payments. Gather additional back-up for payments from vendor websites and e-mails, or internal resources.
  • Engage with sub-rent customers regarding delinquent payments and determine need for additional collection work. Send CAM and Tax invoices to sub-tenants. Record Sub-rent Journal Entry.
  • Gather necessary information from external references and Dun & Bradstreet to perform credit reviews for new and existing wholesale dairy customers. Track changes to credit and provide quarterly reports to the CAT team. Serve as backup to Wholesale Accounts Receivable Representative to maintain customer master and credit limit files in the SAP and DAI systems.
  • Process Subpoena billing requests and send invoices to specified firms. Review accounts at least monthly to confirm receipt of payments, and follow up with firms on past due invoice.
  • Assist with ongoing changes to accounts receivable system, policies, procedures and work flows. Review and suggest process improvements to the receivables.
  • Special Projects (analysis, reports, etc.) and other duties assigned by the Accounts Receivable and Corporate Accounting supervisory team

Basic Qualifications:
  • Associates Degree in Business, Finance, Accounting or related field preferred, or equivalent work experience
  • 1-3 years of experience in Accounts Receivable/Collections
  • Experience with SAP or other database systems preferred
  • Knowledge of Microsoft Suite of products, strong MS Excel skills
