Position: Titles Rep & Release Processor I

Department: Titles & Insurance

Reports to: Titles & Insurance Team Lead

FLSA: Non-Exempt

SUMMARY

Performs all necessary functions of the Titles & Insurance Department, including operating and maintaining required support equipment, processing title applications, and preparing titles/titling instruments for the timely release of lien all secured loans other than real estate loans.

ESSENTIAL FUNCTIONS

  • Update titles received from 50 State’s Dept. of Motor Vehicle in Symitar.
  • Receives, opens, and distributes all department mail.
  • Assign loan paperwork and fax requests to Title Representative.
  • Ensures collateral protection and exceeds member expectations by processing title applications to DMVs, filing UCCs, correcting title errors such as name, year, make, model, VIN, and odometer discrepancies, or ordering duplicated titles.
  • Provides courteous service by assisting members in title transactions such as name change, adding a name, removing a name, state-to-state registration and title transfers.
  • Works on dealer suspense report, ensures KFCU lien is recorded in a timely manner, monitor dealership’s performance, identify possible problem dealers, and file dealer complaints.
  • Works assigned reports.
  • Ensures KFCU lien is recorded in a timely manner by following up on outstanding titles, working the suspense report.
  • Provides supports to branches, Member Contact Center, Business Services with title/registration related questions in order to finalized a loan application, ensures all necessary title documents are received up- front to perfect the KFCU lien.
  • Works paid loan report, release titles for the paid loan in a timely manner, by verifying payment funds, conduction research and enforcing KFCU’s title release guidelines.
  • Assist members with automobile insurance total loss claims by providing Letter of Guaranty to insurance companies.
  • Understands the guidelines for GAP and Collateral Protection Insurance. Answers members’ or branches’ questions regarding GAP and CPI.
  • Issues permission to ship vehicles to military members who will take the vehicle overseas.
  • Assists in phone call overflow for the Title Department.
  • Timely responds to members’ requests via fax, email, message boards, and Synapsys events.
  • Scans loan/title/insurance records documents to imaging system. These include insurance estimates, body shop estimates, lien release, tax documents, titles, registrations, applications, bill of sales, Power of attorneys etc.) Separates and indexes documents to the correct cabinet and file type.
  • Conducts extensive research of records for information relating to titles and other related loan files.
  • Meets established service and production goals for the Title Department.
  • Responsible for compliance with all Federal regulations including Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC)

Other Duties and Responsibilities:

  • Monitors and maintains necessary department supplies and forms.
  • Miscellaneous duties as assigned.

Education:

  • A high school education or GED.

Experience and Other Requirements:

  • Must possess ability to operate computer terminals, personal computers, calculators, printers, and other associated equipment at an acceptable rate of speed.
  • Must possess an outgoing personality with a helpful attitude and have a well-developed telephone service technique aimed at providing exceptional member service.
  • Great accuracy and attention to detail required.
  • Must develop and maintain good rapport with members, other credit union team members, and credit union officials.
  • Must keep abreast of changing policies and procedures.
  • Must maintain confidentiality and display dependability.
  • Must possess exceptional communication skills-verbal, written, and telephone skills.
  • Must possess strong math skills.
  • Overtime may be required as dictated by the work load.

Interpersonal Skills:

Work normally involves contacts with persons beyond immediate associates generally regarding routine matters for purposes of giving or obtaining information which may require some discussion. Outside contacts take the form of service to the public (members or vendors) requiring ordinary courtesy in providing assistance and information.

Computer Skills:

  • Extensive use of PC required.
  • Must be proficient in Microsoft Word, Excel, as well as use of internet and e-mail.
  • Detailed knowledge of all loan systems utilized in the lending process (Opening Act, Symitar, Synapsis, Synergy, DealerTrack, and Allied)
  • Knowledge of vendor and government websites for data entry and research.
